Executive Assistant to CEO, Trustees & Legal
**Location**: Hybrid Working
**Salary**: £40,000 - £42,000 per annum DOE
**Hours**: 35hrs per week

**MAIN PURPOSE**:
The Executive Assistant will proactively develop and deliver a confidential, comprehensive organisational, administrative and management support service to the CEO; Company Secretary/Head of Legal; and the Board of Trustees. The role will oversee the smooth running of the CEO office and support in the preparation of all meetings, visitors and tasks as directed
**MAIN TASKS AND RESPONSIBILITIES**:
**CEO Support**:
- Serve as the primary contact for the CEO, handling inquiries, organising schedules, and ensuring the CEO is prepared and informed.
- Proactively anticipate needs, coordinating resources to address issues and deliver key projects on time and to a high standard.
- Handle travel arrangements, corporate meeting logistics, and follow up on action items, ensuring all materials and reports meet high standards.
- Assist with HR tasks, including recruitment, performance management, and maintaining personnel records for the CEO’s direct reports.
- Support company-wide events, manage confidential information, and ensure compliance with statutory and regulatory requirements.
- Process CEO expenses and review/authorise expenses for the Executive Leadership Team.
- Provide EA support to ELT and SLT during periods of leave of other EA’s.
- Be responsible for the planning, scheduling, coordinating and management of annual organisational events such as the Managers Conference.
- Write regular internal and external communications on behalf of the CEO. 2
- Understand organisational policies and procedures to ensure appropriate decisionmaking protocols are followed.
- Ensure the CEO is compliant with regards to all statutory and regulatory expectations, liaising with various bodies and corporate memberships on formal paperwork.
- Handle confidential information in a professional and discreet manner.
- Process and maintain expenses for CEO. Review and authorise expenses for the Executive Leadership Team.
- This role may involve line management responsibilities in the future
**Board of Trustees and Legal Support**:
- Act as the first point of contact for the Board of Trustees, managing the scheduling, planning, preparation, coordination, and documentation of Board and Committee meetings.
- Ensure high-quality documentation for Trustees, including meeting packs and governance paperwork, while supporting statutory filings and board resolutions.
- Administer Trustee background checks, travel arrangements, and expenses, while managing shared access to Board paperwork.
- Assist with external audits, recruitment, and induction of Trustees, and collaborate on non-financial reports for the Annual Report.
- Maintain and improve the Legal Team’s SharePoint/Teams areas, ensuring good governance through managing key documents such as Committee Terms of Reference and Code of Conduct.
- Support the Company Secretary/Head of Legal in personnel administration and legal correspondence, ensuring compliance with corporate and regulatory requirements.
**ABOUT YOU**:
- Educated to A level or able to demonstrate equivalent experience
- Excellent IT skills
- Previous experience of providing Executive Assistant support to CEO and/or Executive Directors and Trustees
- Experience of arranging director level meetings to include accurate minute-taking and monitoring progress on action points
- Working knowledge and experience of co-ordinating multiple projects
- Experience of organising and managing corporate events
- Experience of working with confidential and sensitive information
- High level IT skills including the use of MS Teams, Outlook, Word, PowerPoint, Excel, etc
- Proactive, resilient and resourceful, with confidence and ability to communicate with people at all levels of seniority
- Great organisational skills and the ability to manage multiple work streams simultaneously to meet specified deadlines
