Working hours: Monday-Friday 9-5pm
£25,000 per annum
Hybrid working
- 2 days from home/3 days in London Bridge office
An exciting opportunity has arisen within the operations management team of a well established construction company who are currently looking for a junior project support assistant to join their team on a permanent basis. Please note than a minimum of one years work experience in a similar role is required.

**The Role**

As the Project Support Assistant, you will coordinate support within the Operations team, including general administration, communications, collaboration, data collection and analysis.
In this role, you will also be expected to help document and maintain internal records, updating them wherever necessary.

**Key Responsibilities**

The tasks you will be responsible for include (but not limited to):
Act as first point of contact for operations/project related queries and ensure smooth running of operations/projects activities
Act as configuration librarian of data sheets
Produce and process Operations and Maintenance Manuals:

- Draft issues
- Create/keep up to date a timetable/schedule to anticipate the workload and upcoming key dates
- Final issues

Coordinate project information between internal teams and external stakeholders
Support existing and develop improved document/project management systems and processes
Upload technical submittals, Health & Safety documentation and other documents i.e. onto clients’ systems including (but not limited to) Aconex, 4P, Asite, Kahua, Business Collaborator, Conject, Zutec, Apex
Issue and record comments returned/Status’d items to the project team for action and uploading once revised
Develop and maintain an accessible central repository for risk & issue logs, and lessons learnt
Work with the team to collect data, forecast and assist with compilation of reports
Update plans supporting the Operations function
Develop and maintain project files
Establish and administer document control procedures, and when necessary attend meetings producing first draft of minutes and action logs
Contribute in the use of specialist tools and techniques such as planning and control, tools, risk analysis
Maintain and update project documentation as delegated by the Operations Manager
Chasing action owners for updates on their actions
Format documentation for client issue
Filling, archiving and enacted version control on all meeting documentation
Collate and produce multiple project status updates including flagging issues that may impact the overall delivery of the programme, handling sensitive material appropriately where necessary. Improving the process and reducing duplication where possible.
Create reference documentation used to manage the project, and support preparation of project documentation (including finance cases and procurement documentation)

**Measures of success**
Embedding and maintenance of assigned processes and documents
Developed and maintained project documents and associated reporting in place
Acknowledged ownership of processes outlined and prompt issue/request resolution in place

**Teamwork**

Work collaboratively with the Operations and Project Teams as well as relevant departments to ensure accurate and consistent approach to project support
Promote company and service excellence
Assist and support other members of the Operations Team with any other duties where required
Contribute towards building and maintaining a positive workplace for all staff
