This is an exciting period of growth for us, as we look for new ways to bring the Lapland experience to a global audience through media, publishing, live shows and eCommerce channels as well as launching our second show this year ‘Lapland Manchester’.

**Role Overview**:
As one of the People Coordinator’s you will play an essential role in supporting the departmental Operations Manager’s by handling administrative tasks, facilitating communication and ensuring the smooth operation of organising your allocated departmental workforce. You will be one of the team representing that department throughout the recruitment process, all the way to the end of the live event.

**Your responsibilities will include, but are not limited to**:

- Assess staff availability and produce staff schedules for each new joiner
- Maintain departmental inboxes, and action any queries or forward to People Operations Manager for escalation.
- Produce daily call sheets for management where required, as well as liaising with Wardrobe where forward preparation is required.
- Departmental shift scheduling and daily absence management including taking absence calls and logging these in a timely manner, keeping departmental managers updated.

**RESPONSIBILITIES**

**TEAM WORKING**
- Ensure that team attendance is high, managing absence in a timely and effective manner in accordance with company policy.
- Working closely with the People Operations Manager, ensure recruitment requirements both before and during the live event are at suitable levels
- Monitoring poor performance and attendance in a timely and effective manner, in accordance with company policy.
- Working with Operations Managers, recognise and promote good performance and attendance through reward & recognition offerings

**HEALTH AND SAFETY**
- Ensure a safe and secure environment for both colleagues and guests.
- Assist the Management team in the co-ordination of any emergency procedures, ensuring the safety and wellbeing of visitors and colleagues at all times.
- Report any health and safety accidents or near-misses into Event Control, inclusive but not limited to trip hazards, emergency issues, cleaning, site repairs.

**TRAINING**
- Assist the delivery of role and venue specific training sessions, keeping track of attendance and ensuring time and attendance records and up to date for payroll

**KNOWLEDGE, SKILLS & EXPERIENCE**
- Comfortable with being first point of contact for your departments staff on site and handling multiple tasks simultaneously
- Excellent verbal and written communication skills
- Great organisational and problem-solving skills
- Confident with technology.
- Previous experience in an event capacity
- Organisational skills and attention to detail.

**Location**:Ascot**:

- Whitmoor Forest, Ascot, SL5 8BG

**Shifts**: rota devised between the x 2 People Coordinator's per department, to cover each day of the live show, 1 working each day.

**Key Dates**:August - flexible start date currently

**Departmental training period in classroom**: from 18th October

**Departmental training period on-site**: from 31st October

**Live Event Period**:6th November (Ascot), 13th November (Manchester) - 24th December

**Pay Rate**:£15 per hour, likely to be 10hr day with a 1 hour unpaid break.

One meal per day to be provided when on-site
