Health Care QA and Compliance Administrator

Sincerity Health Care is a CQC-regulated provider of domiciliary and supported living care. We are seeking a diligent and proactive **Compliance & Quality Administrator** to support our service delivery by ensuring robust quality assurance systems are in place and maintained.
Key Responsibilities
**Audit & Quality Monitoring**
- Schedule and carry out audits of care files, MAR charts, risk assessments and daily logs
- Maintain and update the Continuous Improvement Plan (CIP) with findings, actions and deadlines
- Collect and organise evidence for mock CQC inspections and local authority quality checks
**Compliance Administration**
- Maintain key compliance registers (e.g. DBS, training, supervisions, insurance)
- Monitor version control and accessibility of policies and procedures
- Track expiry dates and renewals for staff documentation, including training and visa status
**Call Monitoring**
- Use electronic call-monitoring systems (e.g. Birdie or Nourish) to track live visits
- Investigate missed or late calls and reallocate visits in real-time where needed
- Produce daily and weekly call-compliance reports for management
**Incident Management**
- Log and analyse accidents, safeguarding alerts, complaints and follow up actions
- Coordinate post-incident reviews such as retraining and care plan updates
- Draft statutory notifications to the CQC or local authority when required
**Staff & Client Documentation**
- Audit staff recruitment, induction and supervision records for accuracy and completeness
- Review support plans and risk assessments to ensure they are up-to-date, signed and reviewed
- Digitise and securely store records in line with GDPR
**Reporting & Communication**
- Prepare monthly KPI dashboards (e.g. missed visits, training compliance)
- Liaise with team leaders and field staff to resolve issues with documentation or rotas
- Provide administrative support for complaints and investigations
Key Working Relationships
- Registered Manager, Compliance Lead, Care Co-ordinators, Team Leaders
- Front-line care staff and nurses
- Service users, families, and external professionals (e.g. social workers, inspectors)
Scope and Decision-Making
- Operate within Sincerity Health Care’s policies and CQC regulations
- Prioritise and escalate live issues related to call-monitoring and compliance
- Recommend improvements to existing systems and processes
Person Specification
**Essential Qualifications**
- GCSE (or equivalent) in English and Maths (Grade C/4 or above)
- Health & Social Care or Business Administration Level 2/3
**Desirable**
- Internal auditor or compliance-related certification
**Essential Experience**
- Administrative experience in a regulated environment
- Document management and data entry using MS Office or Google Workspace
- Experience using rota or call-monitoring platforms
**Desirable**
- Previous work in domiciliary or supported living care
- Experience preparing for CQC or local-authority inspections
**Knowledge & Skills**
- Understanding of CQC standards and GDPR
- Excellent organisational and data analysis skills
- Strong communication skills, both written and verbal
- Confident with systems such as CM2000, Birdie, or Nourish

Additional Requirements
- Satisfactory enhanced DBS check
- Proof of right to work in the UK
- Full UK driving licence and access to a vehicle
