The Royal Academy of Arts is looking for a highly organised Design Studio Assistant to support the day-to-day operations of the internal Design Team.

**Main duties, activities, and responsibilities**
**Studio Management**
- Coordinate and prioritise the design team’s workload for both print and digital outputs. Allocate work as appropriate to designers whilst monitoring volume.
- Be the first point of contact for the internal Design Studio and oversee the Design central inbox.
- Liaise between clients and designers to ensure brief specifications are clear and concise, and timelines for design and production are deliverable.
- Implement detailed design and production schedules across onsite production, print and the promotion of the Academy’s offer - from exhibitions, commercial through to learning and membership.
- Administer the Design budget and provide day-to-day financial support as allocated by the Head of Design, Production and Environment.
- Ensure projects are delivery-ready, with stakeholder approvals, that correct rights and reproductions processes are followed, and that all team output is in line with these guidelines.
- Provide project and admin support to the design team, including organising meetings and room bookings, organising proofs and printing materials ahead of meetings, digital filing, ordering, invoicing, and standards of equipment.
- Undertake any duties which may reasonably be allocated by the Head of Design, Production and Environment.

**Production & Environment**
- Assist in production installations across campus.
- Organise permits and ensure RAMS are in place ahead of installations.
- Liaise and maintain relationships with external production suppliers as required.
- Coordinate flag, banner and signage schedules.
- Maintain RA signage scheme, ensuring building always looks to a high standard.
- Organise decorating and maintenance as set out by the Head of Design.
- Comply with all relevant Health & Safety policies, procedures and regulations and take appropriate and reasonable care for the safety of colleagues and visitors to the Academy.

**Print Procurement**
- Support the Academy in the procurement of print materials and services, ensuring efficient, timely delivery of high-quality collateral sourced at best value as part of the wider Procurement strategy.
- Maintain good relationships with RA preferred suppliers
- Administer the current database/print procurement system (P3) and all associated print specifications within the system and further manage the purchase to pay process within the system.
- Comply with RA policies and procedures in the sourcing of printed material and services from both external and internal resources including GDPR compliance on direct mail or any other associated printed material containing personal data.

**Skills & Experience**
- High computer literacy, experience with Adobe CC suite and enthusiastic to learn new platforms as required.
- Well-honed organisational skills, self-sufficient in administrative terms - efficient record management and maintenance of monitoring systems.
- Efficient time management skills, able to prioritise and multitask to meet deadlines.
- Strong interpersonal skills with the ability to work collaboratively and foster close working relationships with teams across the RA organisation.
- Knowledge of and interest in design and production beneficial.

- Good team-player: happy to work closely with colleagues but confident working independently.
- Methodical and practical with an excellent eye for detail.
- The willingness to listen to feedback and use it to improve.
- Excellent interpersonal and communication skills: patience, tact, confident manner, good listener and quick-thinker.
- An interest in the visual arts and the work of the Royal Academy of Arts beneficial.

**Job Type**: Permanent

**Salary**: £26,000.00 per year
