Projects Coordinator

**Opportunity Details**
- Full time or part time role
- Minimum 9-month contract for maternity cover - immediate start
- Potential for longer term contract depending on individual’s skills
- Based at TaskSpace Design Centre in Leighton Buzzard
- Option of occasional remote work
**Summary**:
Internal coordination of design team and central point of liaison between design other departments, along with other admin duties.
**Responsibilities**:
Design Management
- Communicate regularly with the Project team regarding all projects needing design input.
- Document design tasks and deadlines as requested by the Project team.
- Allocate design tasks to internal and external designers according to design requirements and workload
- Track progress of design tasks and update live design tracker
- Assist with collating prints, mood boards and samples for presentations
Meeting Support
- Lead on setting up meetings between the internal team and external design team, navigating diary conflicts and prioritising projects to meet deadlines
- Work closely with the Project Team and designers to book in design reviews
- Support the Project team in setting agendas, taking minutes, and following up on action points.
- Where required, join external client meetings both remotely and in person to take minutes
Information Management
- Ensure all documents are saved and filed in a timely manner.
- Facilitate sharing of designs and documents between internal team and external designers
- When requested, share secure links of designs and documents to clients
- Ensure copyright documents are sent to and signed by clients for all designs.
- Forward queries, requests, and comments from Project team to external designers and vice versa.
Project Expenses
- Budget for design expenditure on a project-by-project basis
- Keep track of design expenditure
- Review design related invoices and document expenditure
- Other office administrative tasks to be confirmed
