We are looking for an Office Administrator, with excellent communication and organisational skills, to join the Equity team.

**About Equity Cleaning Services**:

- Contract cleaning company specialising in the cleaning and maintenance of commercial and industrial buildings throughout the South of England.

**About the role**:

- Based at our Head Office in Cosham, Portsmouth.
- Part of our small office based team, responsible for all employee administration e.g.; new starter and leavers admin, ID collation, and acting as a help desk for our Staff App. You will also be carrying out day-to-day general office duties such as; answering and forwarding incoming calls, scanning, filling or printing.
- Required weekday afternoons only.

**Duties to include**:

- Converting Applicants to Employees on SmartTask, our Work Management System, sending them a link to the SmartTask App, linking new starters to their site via 'location linking' and creating a Sharepoint file for New Starters.
- Sending out on-line Contracts of Employment and Staff handbooks to new and existing staff, and uploading 'right to work' Identification to employee files or chasing employees for ID as necessary.
- Keeping track of on-line training and chasing staff for incomplete training as necessary.
- De-activate leavers on SmartTask, removing them from various contacts lists and moving them to Leavers on Sharepoint.
- .Advise staff with queries relating to the SmartTask App; e.g. booking on and off shifts and holiday requests.
- General office duties; keeping Outlook Contacts up-to-date, answering incoming calls, printing timesheets, site communication books and other necessary paperwork.
- Be professional and courteous at all times to clients and colleagues, and be able to work effectively alone or within a team.

**Working hours**:
22.5 hours per week, Monday - Friday, 2.30pm - 5pm.
