To provide an efficient, high quality, confidential administrative and secretarial service to the Bucks Psychological Therapies team, working to ensure the smooth running of the secretarial and administration provision. To administer an electronic client information system

- New starters have a 6 month probationary period. This, together with the induction process aims to create a positive supportive working environment allowing new employees to learn key elements of their role over a reasonable timescale.
- To take day-to-day responsibility for the administration and secretarial service to the Bucks Psychological Therapies DIADEM Project. Duties include typing, filing, photocopying, and distribution of information to staff.
- To act as referrals secretary in routine contact with GPs and other referrers over administrative matters, always ensuring that clinically acceptable professional boundaries are maintained.
- To ensure clinicians’ diary details, meetings and appointments are entered appropriately, to ensure that arrangements are changed in cases of emergency or clinician sickness.
- To sensitively handle and accurately record confidential telephone calls, complaints, contact with patients, carers and staff, complex referral queries, to signpost and redirect queries as appropriate.
- To maintain accurate and timely database and electronic filing records, liaising with different parts of the service as necessary, and generating reports as required.
- To assist in the organisation, collection, and preparation of information for routine audit and training purposes.
- To be responsible for prioritising work, assessing urgency and coordinating completion and output with staffing rotas.
- To order and log equipment and maintain office and stationery stocks, using e-procurement or other relevant Trust systems.
- To provide support, practical advice and information to the Psychological Therapies team on matters relating to administration, including electronic data and systems.
- To advise of any areas of difficulty/requirements within the service administered and to assist in finding appropriate solutions.
- To carry out delegated management support tasks on a local or service wide basis, for example: payroll turnaround, waiting list updates, collation of monthly or annual staff returns for signing and onward direction, CPD and professional events, Trust projects or special requirements etc.
