**OFFICE ADMINISTRATOR**
**Working across all operating teams to perform a variety of administrative and clerical tasks and provide administrative support to managers and team members along with assisting in the daily office needs.**
**Hours**:Monday to Friday, 9.00am-5.00pm (40 hrs a week)
**Salary**:£18.5k to £20.5k per annum
**Main Reception Responsibilities**:
- Be the main point of contact for all incoming telephone calls
- Meet and greet visitors to the office
**Stock and Stores**:
- Receive stock orders from trade callers, contract clients and contract support team (on site cleaners) and complete admin process, liaising with Operations/Delivery Team, to ensure timely picking and delivery
- To monitor, place and administer stock orders through preferred suppliers (using SAGE) and to then administer goods inwards processing (using SAGE)
- To monitor supplier pricing and to establish and maintain cost effective purchases
- Resolve day-to-day issues relating to stock availability and product quality/specification
- To perform a monthly stocktake
**Fleet**:
- To be responsible for managing schedule of fleet vehicle service and MOT and liaising with Operations team to book vehicles in as required
- To be responsible for managing corporate fuel card processing and fuel price monitoring
**Admin**:
- To be responsible for maintaining office supplies by checking inventory and ordering items
- To be responsible for maintenance of office equipment (eg photocopier)
- To liaise with Directors and manage contracts for building Utilities
- To liaise with Operations team to write and place job advertisements, monitor responses and arrange interviews on behalf of Managers.
- To liaise with Operations team to keep the ACT Database up-to-date and generate reports as required.
- Process purchase orders/delivery notes/supplier invoices and liaise with Accounts & Payroll Manager accordingly - using SAGE
- To liaise with Operations team to administer updates to site paperwork (eg Health & Safety packs)
- To work alongside Director to monitor and update Health & Safety compliance across the Company
**IT/Telephone System**:
- To be the key contact for IT and Telephone Operating system suppliers (including mobiles)
- To monitor the service provision from suppliers to ensure CCS are benefiting from any long-term agreements and quotation fulfilment
- To ensure software is compliant with business needs and liaising with providers (where necessary) to provide upgrades and reviews as necessary
**Knowledge & Experience**:
- Administration background essential
- Must be naturally organised and a stickler for detail
- SAGE experience preferred but training can be given
- Good command of Word, Excel and Outlook essential
- Should have an awareness of general health & safety procedures
**Key Skills & Behaviours**
- Must be a team player but also able to work independently when needed
- Must be accountable for workload
- Must have good time keeping
- Must be able to plan and schedule work
- Must have good communication skills verbal and non-verbal
- Must be able to adapt in a changing working environment.
