**Job Overview**:
To provide the General Manager and where necessary, Executive Committee members, with secretarial and administrative support, in a well-organized and timely manner. Additionally, to ensure that the Executive Office is organized and managed efficiently.
**Your duties and responsibilities will include**:
- Maintains General Managers diary, scheduling appointments and meetings as necessary.
- Where appropriate supports the Executive Team and their departments with administrative requirements, and diary management.
- Ensures all office supplies and equipment are maintained to the relevant level.
- Is competent with Microsoft Word, Excel, PowerPoint, Microsoft Outlook and G Mail, and uses as required.
- Arranges internal meetings as requested by the General Manager or Executive Team member.
- General knowledge of hotel rooms inventory.
- Attends monthly meetings as agreed with General Manager and Executive Team members, takes minutes and distributes accordingly.
- Prepares confidential correspondence on behalf of the General Manger
- Assists the GM with offer letters, contracts of employment and new starter packs.
- Assists in the maintenance of employee files, ensuring that relevant information is obtained and held securely.
- Assists with employee reference request and chases non-responses.
- Acts as minute taker at investigation and formal employee meetings.
