**If this sounds your type of job - Paine Manwaring has an excellent opportunity for a Part Time Office** **Administrator to join our Service & Maintenance Administration team.**

**As this position is part time, 4-days per week, the successful person will need to work Monday, Tuesday, Thursday and Friday to assist with office cover. Hours will be 8.00am - 5.pm with 1 hour lunch. Non-working day to be Wednesday.**

**Paine Manwaring Limited** is a long-established Mechanical and Electrical Contractor employing 100 staff providing installation and maintenance services from offices in Worthing, West Sussex.

The Service and Maintenance part of the business has a domestic and commercial client base including Private Houses, Housing Associations, Country Estates, Local Authorities and Tier 1 Contractors.

Whilst this admin role helping us keep on top of the administrative aspects of the business such as telephone answering, typing, filing, checking timesheets, raising job sheets, purchase orders and invoices, and communicating with Clients, and our Engineers.

You will need a pleasant personality along with good communication and customer service skills, as you will join a team acting as the first point of contact for many of our customers and engineers.

You will need to be literate with everything IT and CRM systems, and be able to learn and operate confidently new systems such as our Works Management software used to raise jobs, purchase orders and book in engineer’s appointments. Full training will be provided, but having an ability to use and interrogate these types of systems is essential.

Experience in a customer service role, an attention to detail and the ability to multi-task and use your own initiative are all desirable attributes as there are many small but important tasks shared amongst the office in addition to those detailed here.

**As a office administrator, you will generally be required to**:

- Learn and confidently use the CRM system
- Answer and deal with incoming calls, take messages, or redirect as required.
- Onboard new clients, collect and input client data, and raise job sheets.
- With experience, price and generate small quotations for customers.
- Purchase materials for accepted quotations and generate purchase orders for engineers.
- Book Engineer’s appointments and create work schedules
- Provide general admin support where required.
- Office filing and archiving
- Create work contracts and associated paperwork through to invoicing.
