Overall Job Purpose

As part of the Sourcing team, the Sourcing Administrator will provide day-to-day administrative support across a range of sourcing, contract management, supplier management, and supplier payment activities. The role will be focused on ensuring that the team is fully supported to operate at pace in order to deliver a great service to its stakeholders.

Accountabilities

**Team Support**:
Providing administrative support to the Sourcing team with respect to meeting organisation, tendering activities, including market research, document preparation, and managing deadlines

Providing support with populating and maintaining the Vitality Contract Database, covering all third party supplier contracts

Providing support with the issuing, tracking and evaluation of due diligence activities for all new and existing third parties

**Reporting**:
Supporting the team with preparation of weekly and monthly reports with respect to the Sourcing team’s Key Performance Indicators

Support the team with regular and ad hoc supplier spend, performance, and risk reporting

**Technology & Governance Support**:
Delivering support to the team’s key technology platforms, to include user set up, supplier set up, basic trouble shooting, and maintaining training materials

Ensuring the team’s Standard Operating Procedures, Frameworks, and other Governance materials are kept up to date and regularly reviewed

**Procurement Support**:
Support Procurement during times of absence with the raising of requisitions and processing of invoices on the S2P purchasing system

Skills Required

Essential

Excellent organisation skills and the enthusiasm to strive in a busy environment with strict and demanding deadlines

Be able to communicate, influence, and network with stakeholders at all levels, both internally and externally

Possess a good attention to detail and a strong desire to seek ways to deliver continuous improvement

Be capable of effectively managing workload and prioritising demand in order to meet and exceed stakeholder expectations

Desirable

A basic level of sourcing, procurement, and legal understanding

Experience of using purchasing systems and/or contract management systems
