Roaming Administrator - West
Responsible to: Home Manager / Admin Manager
**Job Summary**:
We are currently recruiting for an experienced administrator to provide clerical and administrative support for services within the company. Your own transport is essential for this role as you will be required to travel between the services to provide support in the absence of administrative staff.
Working to an advanced level in an effective and efficient manner, this role will also include the training and coaching of new and existing staff where necessary.
**Main Duties and Responsibilities**:
1. Adhere to company Administrative and Financial Policies and Procedures at all times, ensuring the admin team do the same.
2. Undertake 8 weekly supervisions with the Admin Manager and participate in leading supervisions with the admin team where specified.
3. Ensure all admin duties/tasks are up to date and accurate at all times, to include designated tasks.
4. Undertake relevant training and assist the Admin Manager in the delivery of “_on the job training_” with the admin teams, as and when necessary.
5. In the absence of the Admin Manager, hold and minute regular team meetings to ensure compliance and consistency.
6. Undertake and / or allocate any clerical and secretarial duties required by the Fieldbay team.
7. Ensure that all paperwork for the site you are working in is provided to HR within the required timescales.
8. Maintain People Planner for the site you are covering, reflecting all changes to shifts and recording absences.
9. Notify staff of any changes to their duty rota.
10. Distribute incoming mail and draft correspondence for Nurses and Management as and when required. Arrange for the posting of all out going mail on a daily basis.
11. Monitor stock levels and order stationary and supplies effectively.
12. Collate and designate uniform orders for staff.
13. Ensure that petty cash and S/U monies are handled and recorded in accordance with company policies and procedures.
14. Type assessment letters for managers within the timescales required.
15. Maintain office systems efficiently.
16. Ensure filing is allocated and cleared daily.
17. Carry out any other related duties applicable to your role as required.
