Admin Assistant / tech support for Leadership and Management development - OD, HR, Education. Band 4, 6 months fixed term, hybrid working (working from home and the office).

To act as an administrative assistant within the OD team but in service of the People Directorate more widely eg. OD, Human Resources, Education & Recruitment. The primary focus of the role is to support and co-ordinate the leadership and management development programmes for SCAS.

About Us

South Central Ambulance Service NHS Foundation Trust provides a range of emergency, urgent care and non-emergency healthcare services, along with commercial logistics services.

The Trust delivers most of these services to the populations of Berkshire, Buckinghamshire, Hampshire and Oxfordshire as well as non-emergency patient transport services in Surrey and Sussex.

We serve a population of over 7 million and answer over 500,000 urgent calls a year. We employ 4,551 staff who, together with over 1,100 volunteers, enable us to operate 24 hours a day, seven days a week.

**MAIN DUTIES AND RESPONSIBILITIES**:
Provide efficient and effective administration and support to members of the People Directorate and Assistant Director of OD in delivery of leadership and management development.

To manage and co-ordinate facilitator availability for course delivery ensuring any alterations or errors are picked up and dealt with proactively as soon as possible.

To manage and co-ordinate any external visitors (eg. actors) on any of the courses.

To provide on-the-day technological support for virtual delivery of leadership and management courses. This will be done in conjunction with at least one skilled facilitator who will hold overall responsibility for the course.

To learn and perform the backstage ‘tech support’ role in virtual course delivery. This requires the ability to multitask and includes controlling breakout rooms, sharing screens, loading relevant websites, communicating behind the scenes with facilitators, timekeeping during group exercises and supporting participants with any technological difficulties. Full training will be provided.

To use relevant software (eg. Teams, Excel, Publisher, Word, Outlook, PowerPoint, Slido etc) to execute effective, efficient and accurate administration of current and emerging leadership and management initiatives and programmes in line with the overarching People Strategy and CQC improvement plan.

To co-ordinate the booking of venues (where applicable), and liaising with them as necessary, to ensure arrangements are in place before, during and after all training programmes, including the checking and payment of invoices.

To undertake training for relevant financial systems (eg. Proactis); to liaise with procurement and other relevant personnel; and to raise purchase orders, liaise with suppliers and arrange for timely payment of invoices as required to support the delivery of leadership and management development.

To be responsible for the organisation of meetings and other leadership and management events as directed across the People Directorate. Resolve conflicting diary appointments and schedules. Organise refreshments where appropriate. Compile and circulate agendas, record, type and distribute minutes of meetings as required within agreed timescales and according to Trust protocols.

To set up and maintain appropriate filing and storage systems for any papers, materials and consumables required and used for leadership and management development.

To be an active member of the OD team, including initiating, contributing to and participating in new ideas, innovations, trials and pilots as agreed by the Assistant Director of OD.

To undertake research relating to the role to ensure that best practice is applied and protocols and processes are kept up to date

To collate, filter and distribute all incoming and outgoing correspondence, preparing standard responses as agreed and within the post-holder’s knowledge and capability.

Co-ordinate and update diaries.

Attend other meetings as requested by the Assistant Director of OD.

To demonstrate their role and duties to new, temporary or less experienced staff
