We are now looking for an Academic Services Officer to join our busy team in Uxbridge
The Academic Services Officer (ASO) is a critical member of the College team and is significantly involved in the administration of the key aspects of the student academic life cycle. The ASO will assist the Manager of Academic Services and the AcademicServices Coordinator in maintaining the College’s student management system and ensuring that records are compliant with college, partner University and external stakeholder expectations.The ASO will support all policies and regulations always ensuring ahigh standard of accuracy and completeness.
The role requires a high energy, self-starter who is able to use their initiative and be an active and productive member of a cross functional team. The ASO must possess the ability and commitment to maintain the highest standards of accuracy throughouttheir work.
**Salary**:£24,150 to £26,600 per annum
**Academic Services Officer Duties**:
**Student Records**:
- Maintain the student records system, Navigate, to ensure that the information held is accurate and complete at all times.
- Undertake regular audits of the student records system, addressing any data gaps by obtaining the relevant data from appropriate sources.
- Provide the university partner with reports on changes to student circumstances, course withdrawals or deferrals, student engagement and visa refusals.
- Update student records as a result of reports received from the University Board of Examiners.
**Compliance**:
- Undertake frequent compliance checks on all student records ensure that all records and supporting evidence are accurate and complete.
**Timetabling**:
- Arrange and collate the teaching timetable for the College’s three semesters, taking into consideration academic staff availability and other significant factors
- Liaise with the University’s central Timetabling team to arrange room allocation for the teaching timetable
- Publish the timetable in advance of the start of the semester and respond to timetabling requests from students and staff throughout the academic year
**Assessment Operations**:
- Coordinate BPC examinations and coursework assessments
- Arrange and support post-assessment activities including moderation, module panels and Board of Examiners
- Support the provision of front-line services to students and academic teaching staff providing on-going support with regards to key information concerning the academic environment and associated technologies.
- Manage the front-line student academic enquiries which will include; timetable and examination information, assessment regulations and results release.
- Meet with and advise students in relation to internal procedures such as academic appeals and extenuating circumstances
**Academic Services Officer Requirements**:
- Undergraduate Degree
- At least 18 month’s work experience in an administrative or customer service role
- Experience of working in a fast-paced environment
- Experience of working with and meeting the needs of different stakeholders
- Experience handling and prioritising multiple workloads
- Experience of working with data systems
**Skills**- The ability to maintain information to a high standard of accuracy and completeness.
- Have the ability to communicate with and collaborate with people from a diverse range of cultural, educational and professional backgrounds
- Excellent verbal and written English language communication skills
- Possess good data analysis skills
- The ability to use Microsoft Excel to present data in various formats
- The ability to work as part of a team, demonstrating flexibility, commitment to achieving challenging tasks and a strong team ethos
- Good understanding of the importance of file management (including electronic files)
- The ability to prioritise duties, and seek clarification and guidance from others when faced with competing responsibilities
- Demonstrate sound knowledge of equal opportunity, equity and workplace health and safety principles
- Possess a “can do” attitude and demonstrate a commitment to self-improvement
**Desirable**:
- Project management qualification
- Experience in a Higher Education or Independent Education setting
- Possess knowledge and understanding of the Home Office Tier 4 regulations
- Experience of working in an education setting
- The ability to use project management tools and techniques
