We are currently recruiting for a talented Workplace Services Assistant to join our first class, Facilities department, in London. This is an exciting opportunity for someone who is passionate about the work they do, the service they provide and gettingthe best results for their clients.
The role is to provide effective Workplace & Facilities Services to our London office and where required providing administrative support to our other offices. The role has an internal and external client/customer focus supporting the general day to dayactivities of the London office in order to provide a seamless experience to those visiting. This may include but is not limited to:
- Front of house support, room & desk booking co-ordination.
- Visitor management.
- Ensure meeting room standards are maintained.
- Meeting with suppliers when required eg cleaning company, maintenance company, security provider, landlord.
- Act as a point of contact for on-site IT support eg video conferencing facilities, photocopier breakdowns or IT kit issues, escalating to the IT team as necessary.
- Health and safety; fire marshal/first aid/DSE assessments/evacuations - you will receive training on these.
- Support for National budget administration and workplace planning.

**Responsibilities to include**:
- Able to work alone and as part of the wider Workplace services team.
- Ensure invoicing and purchase orders are processed effectively when required.
- Hard Services - Ensure all H&S checks are completed and submitted via our online portal.
- Ensure daily walk throughs of the floor are completed and actioned or escalated.
- Ensure front of house operates effectively and liaise with onsite cleaners regularly.
- Manage staff amenities, place orders and identify improvements to Workplace Experience.
- Ensure weekly cleaning audits are conducted.
- Support Document Services when required as agreed by Workplace Service Team Leaders.
- Manage staff card access system, updates and temporary cards.
**About you**:
- Excel and Word skills.
- Ability to demonstrate strong verbal and written communication skills.
- High level of personal resilience.
- Positive can-do attitude with a customer service focus.
- Proactive approach to performance improvement.
- High level of motivation and initiative; self-starter.
**Desirable**:
- Institute of Workplace & Facilities Management Level 2.
- IOSH Working Safely, DSE Assessor, Fire Marshal, First Aider.
- Experience of desk/room booking software.
- Experience of working across several disciplines/multi-skilled.
- Basic Health & Safety knowledge would be beneficial.
