Office Administrator

As an Office Administrator, you are required to work with the transport manager, carry out clerical and other duties to **support Transport **as well as to support the company as a whole. An office Administrator is someone who pays close attention to detail, is well-organized, and enjoys being part of a team.
Part of the role also includes data entry, which requires updating, maintaining, and retrieving information held on the company’s computer system. It also requires transferring information that is on paper to computer files (inputting).
As Office Administrator you report directly to your Transport Manager or Operations Manager.
**MAIN ACTIVITIES**
1. Handle creation of job duties and delegate tasks to team members.
2. Create and monitor schedules for each team member.
3. Assist in duties relating to goods in/goods out as necessary.
4. Provides quality service by enforcing quality and customer standards.
5. Maintains a safe and healthy working environment by establishing and enforcing organisational standards; adhering to legislation.
6. Brief each team member about how daily tasks need to be carried out.
7. Ensure all machinery and tools are available to the team and in safe working order and state of maintenance.
8. Perform inspections to ensure each team member’s performance is up to agreed standards.
9. Ensure all materials, supplies, tools and equipment are procured in a time efficient manner.
10. Monitor procedures to ensure that agreed quality standards are maintained and schedules are being followed.
11. Coordinate production/transport schedules, resources, and staff training and to update on issues and actions taken.
12. Organise daily runs/drivers/vehicles.
13. Liaise with customers regarding deliveries.
14. Produce run sheets by 10am and submit to credit control for checking.
15. Maintain the vehicle fleet in good working/road worthy condition.
16. Create progress reports on a daily basis and ensure any significant information is communicated to the line manager.
17. Handle on site incidents and emergencies in a proactive manner; resolving any issues that arise.
18. Create and maintain positive working relationship with suppliers to ensure timely procurement of supplies and materials.
19. Ensure periodic maintenance and correct storage of construction equipment, tools and vehicles.
20. Maintains professional and technical knowledge by attending workshops, educational opportunities etc, as and when required.
21. Comply with the company’s policies and procedures as set out within the Employee Handbook, Accreditations Manual (including Best Practice Quality Guide) and the Health and Safety Manual, as updated from time to time.
22. Comply with the requirements for the role as set out within the company’s Integrated Management System (currently comprising of the Quality Management System, Environmental Management System and the Health and Safety Management System), as updated from time to time.
23. Comply with the requirements of any Core Duties or other relevant procedural or policy document applicable to your role.
24. The post holder must also undertake other duties within their competenceor otherwise appropriate to the grading of the post as required.
