The Role & What You Will Be Doing

Every day, we rise to the challenge to make a difference and here’s how the Executive Assistant & Project Co-ordinator role will make an impact:
Executive Assistant
- Manages the executives’ appointments and schedules and makes travel arrangements to make best use of their time.
- Facilitates smooth communications between the executive and other executives, managers, and employees; and between the executive and external parties such as media, customers, and the public.
- Maintains the executive's office and accounting records; monitors, reviews, and approves standard expenditures to ensure that the activities of the office are conducted within established budgets.
- Plans, organises, and schedules own workload so that all activities are completed accurately and on time
- Supports the executives in arranging and ensuring readiness for key events, eg town halls, team meetings, conference etc
- Provide guidance and coaching to all new incoming staff as well as provides any necessary additional training to current staff.
- Ensure that all administrators comply with and follow local and global SOPs and Policies. Including ensuring they keep up to date on all MyUniversity Training.

Project Management
- Uses project management tools and skills with teams to assist on their projects.
- Preparing and maintaining schedules, developing and monitoring trackers through inputs and administrative support.
- Tracking and reporting information on progress/risks
- Owns and is responsible for successful delivery of own projects

People and Leadership
- Support the continual building of the Viatris Culture within the function and across the country organization
- Engage colleagues across BUs and functions, actively promoting employee engagement tools and influencing right mindset, through and with, the culture champions and other key teams.
- Upholding and modeling Viatris values, cultural elements, and visible and inspirational leadership

Compliance
- Drive and champion high standards of Compliance to norms, policies, and procedures.

About Your Skills & Experience
- Substantial experience as an Executive Assistant and proven project management skills and mindset
- Experience of managing/organising meetings and company events. An individual who is detailed orientated, a problem solver and solution oriented, flexible, team player, excellent negotiaton skills, able to travel if needed
- A qualification in Business Administration is appreciated but not essential
- Mission driven and self-directed individual with a Customer Centric Mindset
- Strong Leadership and the ability to positively influence others with good stakeholder engagement skills
- Demonstrates organisation skills that reflect ability to perform and prioritise multiple tasks without impacting work quality
- Excellent written and verbal communication skills as well as highly developed interpersonal skills that facilitate effective and appropriate working relationships with colleagues, internal and external stakeholders at all levels of the organisation
- Good attention to detail, with high standards of accuracy and work quality.
- Highly competent with office technologies including LCM (our contract management platform), Smart Source and Microsoft Office: Excel, Word and PowerPoint.
