The Rycote Practice, Thame, Oxfordshire
**Hours: Approx 15-20 hours over 2-3 days (Tue, Wed & Fri)**
**Salary: £24500 - £26500 pro rata (depending on experience)**

We are a friendly, busy practice of nearly 13,400 patients and are looking for a medical secretary to join our administrative team to process referral letters and other correspondence, respond to patient queries and provide support for GPs.
- Be an experienced typist with a wider interest in administration
- Previous experience as a medical secretary would be an advantage
- Work to a high professional standard and avoid mistakes
- Demonstrate excellent organisation skills and attention to detail
- Have excellent communication skills to liaise with patients and colleagues
- Be capable of prioritising tasks and remaining calm under pressure
- Possess excellent IT skills and a willingness to learn
- Have excellent interpersonal skills and compassion for others
- Demonstrate flexibility in hours to support the service

**JOB DESCRIPTION**
**Job Summary**:
To be responsible for the provision of an efficient, comprehensive secretarial and administrative support service to the Practice. To undertake these duties without direct supervision, working within broad procedural guidelines.
Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone
**Responsibilities**:
Medical Secretarial Duties
- To deal with patient enquiries, exercising initiative with regard to action necessary. The GPs however must make judgement regarding the nature of any case.
- To type from audio all referral and patient correspondence letters required
- To process referrals on the NHS eRS system on agreed pro-formas where services are not available on the electronic portal
- Arrange appointments and support vulnerable patients to navigate referral pathways as required.
- To prioritise all correspondence (including referrals) to ensure clinical safety
- Check that all two week wait referrals that have been received and actioned by secondary care providers
- Enter all correspondence on to the Practice clinical system using read codes where appropriate and to log all referrals
- To communicate and liaise between all disciplines of staff and external agencies to facilitate a smooth transition between primary and secondary care
- To help and support colleagues as required, including cover for annual leave and sickness
- To type any non-patient correspondence (such as invoices) as required
- Deal with any telephone enquiries and always answer the telephone with a polite and professional manner
- Perform any reasonable administrative referral tasks as requested
- Maintain any personal correspondence files as required by the Practice
General Administration
- To have a thorough knowledge of all Practice procedures
- To work in accordance of written protocols
- Scan and photocopy as requested
- To support meeting preparation and produce minutes as required
- To support practice audit as required
- To support specific practice projects as required
- To provide support and cover to other practice departments as required
- Maintain quality and accuracy of all data input.
- To manage patient safety alerts, ensure that they are distributed and that appropriate actions are taken.
Computer Use
- Use of clinical record system (EMIS Web) to access patient records, record referrals and produce summary reports to support referrals
- Use of Docman (Correspondence Management system) to access third party entries to the patient’s clinical record.
- Use of the eRS portal to arrange referrals and chase referrals for patients.
- Use of Lexacom digital dictation software to process audio referrals
- Use of the Sharepoint intranet to look up key practice information and to capture new protocols for implementation in the practice
Other Tasks
- Ensure building security - have thorough knowledge of doors/windows/alarm
- Have working knowledge of the Xon Surgery Connect telephone system
- Have working knowledge of the AccuRx text messaging service
- Have a working knowledge of Welch Allyn CardioPerfect software
- Any other tasks reasonably requested by you line manager and the partners.

Pay: £24,500.00-£26,500.00 per year
