The post is line managed by Social Care Business Support, but is located within the Education and Early Intervention Department.

The post-holder will join a team of two Secretaries who provide efficient and effective secretarial support to three Heads of Service to ensure the smooth operation of the Education and Early Intervention Department.

A key function of the role is to be the first point of contact and manage communication between schools/wider WCBC colleagues and the department, and to co-ordinate busy diaries.

The post holder will be required to produce detailed, high quality minutes of meetings, and fast and accurate keyboard skills are a necessity.

Essential requirements for the post include the ability to communicate confidently with members of the public and colleagues at all levels, and the ability to manage competing priorities.

Experience of creating and formatting documents within Microsoft Word and Excel is essential, as is extensive knowledge of office procedures. Some meetings will be school based, so the ability to travel across Wrexham on occasion would be desirable.

PRINCIPAL ACCOUNTABILITIES:
1. Provide a word processing / typing resource to the 3 Head of Service in Education.

3. Research and collate information for the Head of Service (in order to meet deadlines for reports), deal with complaints etc.

4. Assess and prioritise work according to deadlines for reports.

5. Arrange meetings and prepare and assemble associated papers.

6. Attend meetings and take (verbatim) notes as required.

8. Maintain the Head of Service’s diary and make appointments.

9. Handle incoming telephone calls and queries promptly and courteously.

11. Maintain an effective filing system.

12. Open departmental incoming mail and distribute as appropriate.

13. Act as central point of contact for the department providing information and, as far as practicable, dealing with the issue / query concerned.

14. Ensure visitors receive appropriate hospitality.

15. Ensure confidentiality is adhered to at all times.

16. Carry out any other clerical / administrative tasks as may be reasonably required.

**Job Type**: Temporary contract
Contract length: 2 months

Pay: £12.59 per hour

Expected hours: 37 per week
