The Holiday Inn Brentford Lock nestled overlooking the scenic waterways of the Grand Union Canal. This four-star hotel is located in west London and has been created for comfort and style and offers a warm and welcoming service to all guests. The hotel has 6 modern meeting rooms and 133 en-suite bedrooms; it is the first in Europe to have a revolutionary open lobby concept. With good transports link, the hotel can be easily accessed by public transport. Brentford train station is about 10 minutes' walk to the hotel. As Meeting & Events Operations Assistant your role will be to deliver a unique guest experience. You will consistly provide an excellent experience to our guests whether they're attending a meeting, training course or a wedding reception

**About Us**:
The Holiday Inn London Brentford Lock is a four-star, 134-bedroom full-service hotel overlooking the scenic waterways of the Grand Union Canal.

Boasting 6 meeting rooms, as well as a unique open lobby concept with a lounge, feels suitable for both business and leisure travellers.
Located only 20 minutes from central London and London Heathrow Airport, the hotel offers the best of both worlds - a city break with green, open spaces away from the city-centre bustle.

**Role in our Family**:
**Administrative**
- Prepare accurate client invoices and contracts in a timely manner pre and post event.
- Conduct show rounds and provide client hospitality.
- Promote the facilities to prospective external clients by demonstrating an in-depth knowledge of the products on offer
- Coordinate event details for corporate and private functions including lunches, seated dinners, receptions, meetings, conferences, ceremonial occasion and weddings.
- Maintain timely response and follow up to enquiries according to standards as outlined in IHG guidelines.
- To ensure correct and effective selling of conference and banqueting space by maintaining the selling strategy for selling group accommodation & events as set by the Meetings and Events Manager or Director of Sales.
- Conduct Site Inspections using Sales Skills with a view to closing business
- Maintain effective and appropriate liaison with clients both before and whilst on property for site inspections and events
- Ensure a thorough handover is administered to appropriate departments for all Events by a weekly function sheet meeting and daily operation meetings which take place before the morning meeting.
- Present all written material in a professional and creative way according to examples given, in IHG guideline.
- Assist in compiling Contracts for all Conference & Banqueting associated business, ensure proper signatory and issue timely.
- Manage workload by prioritising regularly aligning your daily task list as set by the Meeting and Events.
- Produce Function Sheets and Check-In reports which detail client requirements accurately and timely - with clients' signature as an agreement where necessary.
- Project a pleasant, positive and professional image to all contacts all times.
- To ensure, with the team, the efficient co-ordination of customer events through excellent administration skills and continuity of contact between clients and the hotel, alongside the operational teams, assist with room set up and final checklist sign off prior to client arrival.
- To conduct internal show rounds as and when required.
- To assist with organising and attending client evenings at the hotel.
- To produce a weekly report.
- Attend where necessary all internal and external events.

**Operational**
- Alongside the Meetings and Events Operations Manager, you will Co-ordinate the day to day operations of the Conference & Banqueting floor to obtain maximum profit and maximum guest satisfaction
