**Job Summary**: As a Fleet Operational Assistant, you will play a pivotal role in ensuring the smooth operation of our fleet. Your responsibilities will include managing vehicle maintenance, coordinating repairs, and overseeing operational tasks. You will contribute significantly to our company's success by optimising fleet efficiency and minimising downtime.

**Key Responsibilities**:
**Fleet Management**:

- Oversee the daily operations of our fleet, including vans and cargo bikes.
- Ensure vehicles are parked appropriately and pay parking fees when necessary.
- Conduct regular inspections of fleet vehicles to assess their condition and safety.
- Drive vans and ride cargo bikes as needed.

**Operational Coordination**:

- Coordinate with mechanics to schedule and monitor vehicle maintenance, including battery management and repairs.
- Manage job details and generate customer invoices using platforms like ZOHO.
- Prepare and analyse operational reports, including audits of batteries, repairs, and supplier invoices.
- Maintain accurate records of parts procurement and coordinate with suppliers for timely deliveries.

**Fleet Administration**:

- Update fleet management systems (e.g., Fleetio) to track vehicle assignments, statuses, and repairs.
- Create repair invoices and damage reports for vans and cargo bikes.
- Conduct audits of supplier invoices and ensure all operational documents are up-to-date.

**Communication and Reporting**:

- Communicate effectively with internal teams, mechanics, and external suppliers.
- Prepare detailed reports on vehicle usage, parts procurement, and repair activities.
- Attend in-person and virtual meetings as required.

**Work Schedule**:

- Monday to Saturday, with occasional urgent tasks requiring immediate attention, including weekends or after-hours.

**Qualifications**:

- Strong organisational skills with a focus on operational efficiency.
- Intermediate knowledge of Google Sheets or Excel for data tracking and reporting.
- Prior experience in fleet management, vehicle maintenance, or operational logistics is highly desirable.
- Excellent communication and interpersonal skills.
- Attention to detail and problem-solving abilities.

**Required Documentation**:

- Proof of Right to Work in the UK.
- Fluency in English (reading, writing, and speaking).
- Full UK Driving License.
- Valid Passport for international travel.
- No existing medical conditions that could hinder job performance.
- Clean driving record.

**Preferred Skills**:

- Hands-on experience with vehicle maintenance and parts management.
- Familiarity with operational reporting and auditing.
- Ability to prioritise tasks and work independently in a fast-paced environment.

**Employment Details**:

- Salary: Competitive salary starting at £30,933.76 per annum.
- Work hours: Monday to Friday (08:30 - 17:30) and Saturday (09:00 - 16:00).

Pay: £30,933.00 per year
