I am looking for an Office Coordinator to act as a first point of contact for all administrative support to our internal organisations working within the Middlesbrough office. Reporting to the Operations Control Manager the role will include reception cover and QEMS (Quality, Environmental, Management & Safety) compliance support to ensure a smooth running of the office.

**Responsibilities**:

- Issuing early warnings and change requests and inputting approved instructions to tracker
- Update of Purchase Order logs and input into SAGE
- Liaise with suppliers and buying department
- Receiving and entering goods received notes
- Summarise labour allocation from time sheets
- Chase all labour time sheets and ensure sign off
- Attending meetings and taking minutes
- Sort invoices for sign-off to the Project Engineers
- Print-off drawings for site files
- Supporting Building Services Manager on all project administration/provide compliance administration support including typing for letters or progress notes

**General admin duties**:

- Update of documentation into our Project Information Management System (PIM)
- Monitoring of contract paperwork ensuring compliance and scanning into PIM
- Ensure all site file/project documentation is archived in a timely manner in accordance with processes
- Update and maintain office templates

**Reception duties**:

- To act as the first point of contact within our organisation
- Greet visitors on arrival to the offices and communicate to the relevant person their arrival
- Answering all telephone calls
- Book meeting rooms for internal / external meetings
- Sorting, recording and distribution of all incoming mail and recording and franking of all external mail

**Person specification**:

- Must hold a UK driving licence and access to own transport
- Excellent communication and written skills
- Able to deal with confidentiality
- Experience within a similar role and using Project Management systems
- Confident working independently and using own initiative

**Job Types**: Full-time, Permanent

**Salary**: Up to £26,000.00 per year

Flexible Language Requirement:

- English not required

Schedule:

- Day shift
- Flexitime
- Monday to Friday
- No weekends

Work Location: In person
