For Current Gilead Employees and Contractors: Please log onto your Internal Career Site **Job Description**: Public Affairs Associate, International Reporting to the Vice President, International and Strategic Projects and also supporting the Executive Director, Australia, Canada and Europe (ACE) plus the Senior Director for Global Patient Solutions (GPS), this position is based in Stockley Park with flexible working up-to-three days per week depending on business needs. We are looking for a proactive professional who has experience working internationally and is an experienced project manager with a high attention to detail, who is able to multi-task and prioritize at a very high level. This role requires confident verbal and written communication skills and also includes some administrative responsibilities for senior team members. Responsibilities include: - Project management of monthly Stockley Park and Cambridge Town Hall presentation decks including liaison with HR, Facilities and other related functions and preparation of core powerpoint slides. - Coordination of monthly virtual or in-person ACE Public Affairs meetings and International Public Affairs Leadership Team meetings, including liaison with guest speakers, action-taking, circulating relevant materials to the team. - Championing use of the Public Affairs Resource Hub and the International PA sharepoint. - Provide project management and logístical support for specific GPS meetings relating to Gilead’s work in global health and support the development of related communication including digital resources - Working closely with the head of GPS, provide project management and content support for the development of communication plans and materials for the GPS region - Management of ad-hoc projects and related budget management as required - Support development of agenda, logistics for external and internal meetings (including International Public Affairs all hands) and events including but not limited to external speakers, hotel sourcing, room block management, team travel, communications, meals, etc. - Provide diary management for Vice President, Public Affairs International and Strategic Projects, Executive Director ACE and the head of GPS. - Organize travel for Vice President, Executive Director plus the lead for GPS as needed using the online e-booking tool on Concur and liaison with the company nominated travel agents - Carlson Wagonlit Travel. - Reconcile expenses using Concur and correctly following the submission process. - Use Oracle to generate Purchase Orders for the Public Affairs cost centre and working effectively with Shared Service Centre in Finance to ensure timely payment and receipting. - In depth understanding of the process of reviewing and approving activities and materials originated by Stockley Park. Using this understanding in conjunction with the VEEVA Vault (Promo Mats) functionality and system. - Working cross functionally with Public Affairs colleagues across ACE and International, create and manage an international calendar of events that lists major conferences and milestone events in order to aid business planning and prioritization of communications. Knowledge, Experience and Skills: - Three-plus years of experience within a fast-paced, patient-centric, international organization supporting senior level management preferably in pharmaceutical or biotech. - Highly effective oral, written, and interpersonal communication skills; demonstrated ability to effectively and comfortably interact at all levels. - Knowledge of regulations and principles specific to communications for a publicly traded biopharmaceutical company (preferred) - Maintain highest personal levels of ethical conduct, confidentiality, and integrity, with strongest professional reputation in the industry. - Previous experience in communications is highly desirable Equal Employment Opportunity (EEO) It is the policy of Gilead Sciences, Inc. and its subsidiaries and affiliates (collectively "Gilead" or the "Company") to recruit select and employ the most qualified persons available for positions throughout the Company.
