Fees Administrator

The Fees Administrator will assist in all aspects of the Fee Billing Process across Malvern College and the two prep schools, The Downs Malvern and Abberley Hall. This will include assisting with processing school fees and payments, calculating fee adjustments, credit control procedures, maintaining the sales ledger and schools management system, performing financial analysis and such duties as to provide an excellent service to the Malvern College Family including parents, pupils and staff.
**Key** duties and responsibilities**:
- To work closely with the Fees Manager in providing excellent customer service to the Malvern College Family including teachers and parents.
- To assist the Fees Manager with preparation of school fee bills and providing sales ledger support.
- To actively progress digitalisation of student records
- To assist in calculating and processing any fee adjustments including bursaries, scholarships and concessions.
- To process extra charges for trips, activities and other pupil recoverables onto the fee bills, liaising with relevant staff.
- To ensure records are appropriately maintained.
- To post pupil charging on to the billing system (iSAMS)
- To prepare estimated and advanced invoices
- To maintain and update the bursaries and scholarships spreadsheet for processing onto the school bills.
- To perform reconciliation and posting of transactions from the online payments system to the general ledger.
- To monitor payment of fees invoices and provide analysis on the debtors position.
- To assist with credit control procedures in line with agreed policies and liaise with relevant parties.
- To assist in maintaining pupil number records.
- To process adjustments to correct any mis-postings.
- To ensure the archiving and destruction of sensitive and confidential historical data.
- To perform other duties as required including assisting with preparation of information for the year-end audit.
- To provide general finance processing support and cover for other members of the team, as required.
