Office Administrator/secretary

**Key Responsibilities**:
**Office & Admin Duties**
- Manage daily office operations, calendars, schedules, and internal communications.
- Provide general administrative support including document preparation, filing, and reporting.
- Assist with managing supplier and client communication and follow-ups.
- Ensure a smooth flow of information within the team and help coordinate daily tasks.
**Social Media & Content Creation**
- Plan, design, and schedule social media content using Canva, Photoshop, or similar tools.
- Manage and grow social media presence across platforms (Instagram, Facebook, TikTok, etc.).
- Respond to messages, comments, and inquiries in a timely and professional manner.
- Use AI tools like ChatGPT for drafting posts, content ideas, captions, and performance reports.
- Monitor analytics and suggest improvements for content strategy and campaign results.
**Accounting & Reporting**
- Handle day-to-day financial tasks: invoicing, expense tracking, and reconciliation.
- Maintain records using QuickBooks or similar accounting software.
- Support end-of-month reporting and assist in organising financial documents.
**Sales Support**
- Assist in basic sales operations such as responding to customer enquiries, preparing quotes, and updating sales trackers.
- Follow up with potential leads and help convert them into customers.
- Coordinate with the marketing team to align promotional activities with sales goals.
- Support eCommerce or platform listings and assist with customer satisfaction tasks.
**Warehouse Support**
- Help organise inventory and assist in order packing when needed.
- Support stock level checks and help prepare items for dispatch.
**Required Skills & Attributes**:
- **Organisation & Multitasking**: Ability to manage multiple responsibilities in a fast-paced environment.
- **Creative Tools**: Proficiency with Canva, Photoshop, or other content creation platforms.
- **Tech-Friendly**: Comfortable using AI tools like ChatGPT and eager to explore new technologies.
- **Accounting Basics**: Experience with bookkeeping and tools like QuickBooks (or similar).
- **Sales Communication**: Confident in written and verbal communication to support customer interaction and sales follow-ups.
- **Social Media Management**: Familiarity with platforms, trends, and basic performance metrics.
- **Adaptability**: Willingness to assist with both desk-based and hands-on tasks.
- **Problem-Solving**: Creative, resourceful, and proactive in tackling tasks and finding solutions.
