The Bermuda Monetary Authority (Authority or BMA) is seeking the services of a skilled and capable individual to work as a Senior Administrator in our Supervision (Banking, Trust, Corporate Services and Investment) Department. Reporting to a Deputy Director, the Senior Administrator will be responsible for providing executive secretarial and administrative services to the Department and coordinating such activities to support the execution of efficient and effective departmental services. The incumbent will also have an indirect reporting line to the Chief Data and Analytics Officer.

**This is a key role for the Authority, and the post-holder will be responsible for, but not limited to**:
- Administering the receipting and distribution of all incoming documents and acting upon such documents in accordance with established BMA/Department processes
- Responding both professionally and timely to requests for information with respect to relevant business activities and processes
- Accessing websites to research requested topics or specific information, collating such data and conducting fundamental analysis of information to present information in a meaningful manner with summaries, as required
- Utilising BMA databases to input relevant data from stakeholders and/or internal sources and running system reports to reflect process status
- Developing progress reports to indicate status of processes on a regular basis
- Organising and maintaining filing systems/correspondence utilising both conventional (hard copy) and electronic systems, liaising with records management as appropriate
- Preparing correspondence, including letters, memos, reports and minutes based on known or provided facts, using Authority standard templates and formats
- Assisting with processing and tracking expenses to ensure timely payment and reconciliations
- Ensuring the provision of basic mechanical and electronic office services, such as copying and scanning services, providing key operator support and liaising with IT and service providers for continuity of service and fault resolution
- Coordinating and arranging travel, hotel accommodation, transport and registration requirements associated with training, conferences, meetings, etc.
- Scheduling appointments and meetings, booking meeting rooms and carrying out all administrative arrangements for supervisory colleges, seminars and other Departmental meetings
- Ensuring room set up, including IT equipment, conference calls, meeting dial-in details, presentations, coffee/water and catering
- Arranging conferences, events and associated resources for both internal and external locations
- Coordinating the logistics for Department events and projects, as assigned
- Liaising with other teams within the Authority
- Performing other related work and special projects as assigned by management in accordance with competencies normally associated with the post

**This position requires a proven technical and business background. Therefore, the post-holder must have**:
- A bachelor’s degree in business or other related discipline or an equivalent qualification from a recognised institution
- A minimum of five (5) years of experience in an office environment with at least one (1) year supporting a team or senior management in a diverse range of tasks
- Proven experience handling and maintaining highly confidential information
- Detail-oriented, with strong written and oral communication skills
- Excellent organisational skills with an ability to prioritise work tasks
- Strong computer skills and proficiency in Microsoft Excel, Word and Outlook
- Experience preferred in the financial or insurance markets or a regulatory body and with the software programs Prophix and Workplace
