Butterfly Volunteers Co-ordinator

Working in partnership with the Anne Robson Trust to attract, recruit, train, and manage a dedicated team of ‘Butterfly Volunteers’ to provide ongoing support to patients at the end of life, their families and carers.
To work collaboratively with Palliative Care, Voluntary Services, Ward Staff, Chaplaincy and other Trust Teams to ensure patients and their families are aware of the ‘Butterfly Volunteer Service’ and are able to access support if/when required.
To lead the delivery of a volunteering strategy for the Trust, in line with legislation and best practice within hospital volunteering
To ensure cohesiveness between members of the Butterfly Team who volunteer independently.
Day to day responsibility for the recruitment, interview, selection, training and management of ‘Butterfly Volunteers’.
Manage a dedicated space to support families of patients at the End of Life
Supporting partnerships (on behalf of ART in conjunction with PAHT stakeholders) with external organisations, with a view to optimising the impact of the work of Butterfly Volunteers.
Day to day management and development of the Butterfly Family Hub, ensuring all family members/visitors are warmly welcomed and supported appropriately.
Day to day liaison with the Palliative Care, Voluntary Services Team and Chaplaincy. Supporting administration and planning for an effective and impactful Voluntary Service.
The Princess Alexandra Hospital NHS Trust (PAHT) provides a full range of general acute, outpatient and diagnostic services at The Princess Alexandra Hospital in Harlow, the Herts and Essex Hospital in Bishop’s Stortford, and St Margaret’s Hospital in Epping.
We employ 3,500 staff and serve a local population of around 350,000 people living in west Essex and east Hertfordshire, centred on the M11 corridor and the towns of Harlow, Bishop’s Stortford and Epping. Our extended catchment area incorporates a population of up to 500,000 and includes the areas of Hoddesdon, Cheshunt and Broxbourne in Hertfordshire.

Maintain accurate data collection and produce monthly and annual reports on service activity for the Anne Robson Trust.
Intervene at initial stages of conflict, grievances and complaints and manage as appropriate, reviewing Volunteer placements where problems arise, and arranging transfer, redeployment via the Voluntary Services team or effective dismissal as necessary.
Supervise the administrative support staff/administrative volunteers within the service and ensure data input is being done in real time.
Ensure adequate cover is in place to provide support to ‘Butterfly Volunteers’ during post holders annual leave, and when working offsite.
**You will occasionally be required to**:
Attend out of hours meetings.
Be able to have flexibility in working hours - which may change on a weekly basis depending on the needs of the volunteers.
Be available to support ‘Butterfly Volunteers’ working on projects outside normal working hours, including some weekends.
Take part in regular recruitment events to aid recruitment to ensure that there is a fair representation from all local communities.
Provide on-going support for volunteers, monitoring placements to ensure effective employment and job satisfaction and recording this in information systems.
Lead on the arrangement of appointments for interviews so that the individual is made aware if they have been progressed to the next stage of the recruitment process.
To support reporting of safeguarding or WRAP concerns within volunteer activity for the Trust.
Be responsible for monitoring patient, staff and volunteer feedback and satisfaction with overall service.
To ensure policies and controls for the Safeguarding of Vulnerable Adults and Children are adhered to, that volunteers are not placed in situations which paid staff are expected to handle or asked to perform duties outside of their role description.
