Document Management Assistant

As part of a team of Document Management Assistants you will be responsible for co-ordinating standard document and artwork requests from different areas of the company and managing the end-to-end process. This will be achieved through logging new requestsand distributing to the correct department; updating internal libraries and matrices; sending build instructions for creating standard documents and managing the review process.
All artwork must be signed off to the highest standards ensuring that they are legal and compliant and no areas of the business will be impacted by its implementation.
Key Responsibilities:
- Administering the proof reading process for UK and International standard documents and artwork
- Managing artwork projects
- Updating and maintaining module libraries and matrices for standard documents
- Checking requirements for requests incorporating updates where necessary
- Ensuring all artwork is completed to the compliance guidelines as set by the business
- Managing artwork requests according to timeframes set
- Updating and maintaining all internal systems to ensure mailing campaigns are set up correctly and on time
- Ensuring all artwork is signed off in-line with the Internal Controls procedures
- Resolving design and mailing queries
- Actively chasing jobs for sign off
- Understanding and working with many different areas of the group, especially the Hub, Design and Copy teams.
- Reporting
- General ad hoc administration
Systems Knowledge:
Good Microsoft Word and Excel skills
