Personal Assistant - **Ceremonies and Events Coordinator** Salary - Sc 4/5 (£21,135 - £26,016) pro rata Part time, 30 hours per week Permanent vacancy **_Do you have experience in the planning and hosting of successful events? Do you have the ability to multi-task and prioritise?_** We are currently recruiting a permanent Personal Assistant to join our Executive Support Services Team, with the specific portfolio area responsibility of leading, managing and coordinating corporate events for North Yorkshire Police and North YorkshireFire and Rescue Service. Events include but are not limited to; - Annual Awards Ceremony - Long Service and Good Conduct and Promotion Ceremonies - Annual Memorial and Remembrance Services - Annual Oakleaf Ceremony You will oversee the whole events planning process from start to finish and will attend events in person to ensure the smooth running. You will be the key contact for all events and ceremonies queries. Your primary portfolio area will be events management, however you will also be required to provide support to the rest of PA team during busy periods, leave/absence etc. You will be required to provide high quality, confidential, multi-disciplined PersonalAssistant support service and case file management support. This is an agile role which has the benefit of working from home as well as occasional days working in the HQ office based in Northallerton. The postholder will be required to attend ceremonies and events which may take place outside of office hours. **Your main skills and responsibilities will include but are not limited to**: - Managing and facilitating all force wide events and ceremonies including; running reports, setting dates, sending invitations, liaising and booking of venues and suppliers, ordering of medals, commendations and certificates, creating presentations, promptsand speeches, timed agendas and running orders, liaising with sponsors, guests and other and key attendees, managing budgets etc. - Responding to queries and providing advice, guidance or signposting to internal and external customers - Providing a high quality, confidential, multi-disciplined Personal Assistant support service - Contributing to or undertaking research or project work on key issues or specific initiatives as required - Maintaining effective file management, action management and administrative support systems and effectively sharing knowledge with executive support colleagues - Maintaining casefile management and complaints for all Chief Officer correspondence include partners and stakeholders, members of the public and staff. **To be successful in this role, it is essential that you have the following**: - Experience of arranging meetings and events both in person and virtual - Excellent planning and organisational skills, with the ability to multi-task - The ability to work accurately under pressure, independently with limited guidance as well as part of a team. - Excellent customer service and, problem solving and interpersonal skills, including the ability to communicate with a broad range of diverse and demanding customers across a variety of platforms - Experience of managing multiple senior managers’ diaries including arranging appointments/meetings and making travel, accommodation and catering arrangements - Excellent notetaking skills with high levels of accuracy to meet requirements and timescales **Working for us - what we can offer you** The Police, Fire and Crime Commissioner for North Yorkshire established **enableNY** in April 2019, as the vehicle to transform police and fire collaboration in serving the public of North Yorkshire. **enableNY** encompasses the provision of financial, people, estates, technology, business design and assurance services to support North Yorkshire Police (NYP), North Yorkshire Fire & Rescue Services (NYFRS) and the Office of the Police, Fireand Crime Commissioner.
