Goods in Support and Events Administrator

Freemans Event Partners are the leading provider of event and stadium public catering in the UK. We operate at over 400 events each year, working in partnership with prestigious sporting and entertainment venues such as Silverstone Circuit and Twickenham Stadium and have established excellent supplier relationships with market-leading partners across numerous platforms.
We are currently looking for a Goods In Support and Event Administrator to carry out all administrative duties for our warehouse and events team. The main responsibilities will include;
**BRCGS**
- Complete all relevant administration for audits, meeting minutes, supplier monitoring including booking meeting rooms and issuing minutes.
- Diary management of all key activities and service providers servicing / maintenance dates.
- Maintain database of supplier certification or “self-audit” questionnaire documents to include service providers.
- Complete documents for yearly review of service providers and update results onto spreadsheet.
- Updating all documentation to the current version required and displaying this across the business.
**Offsite Events**
- Diary management of all Logistics events and transport requirements.
- Maintain database of all full time, casual and temporary staff for accreditation purposes for entry into events or stadiums.
- Complete event accreditation forms as far in advance as possible and ensure all relevant wrist bands and passes are available for collection on date required for entry to event.
- Liaise with the Event Manager to confirm what staff are required for each event and confirm details with them regarding when they will be required and coordinate logistics of travel and accommodation. Ensure purchase orders are raised and signed off.
- Ordering of vehicles and plant from agreed list of service providers ensuring delivery and hire costs are kept to a minimum. Ensure purchase orders are raised and signed off.
- Completion of event P&L’s using templates and gathering relevant information from other areas of the team in a timely manner for review by Operations Manager and Events Team Leader.
- Ensure Purchase Orders are completed for all casual staff, plant and vehicles with relevant sign off process.
**Transport**
- Booking and confirming of all transport for events and adhoc deliveries.
- Booking drivers in advance, confirming rates and completing payroll via purchase orders placed on sage.
- Diary management of all vehicle and trailer hire, plus all haulage requirements.
- Communication with service providers in respect of purchase orders, collection dates, return dates and any damages or issues.
- Recording of records for all vehicle and driver logs.
- Liaising with the Transport and Compliance Manager to ensure all vehicles are road worthy and compliant.
**General**
- Provide administrative support for Operations Manager, Warehouse Manager and Goods In Administrator during busy periods and holidays.
- Liaise with contractors and suppliers of equipment to ensure all servicing and breakdowns are covered.
- Compilation of data required for management reports.
- Any other duties deemed necessary to meet the needs of the business.
- Take into consideration sustainable solutions and best practices to ensure we take responsibility for reducing our impact on the environment and support the companywide sustainability strategy.
**Essential;**
- Excellent MS Office Suite skills.
- Strong interpersonal skills to operate effectively at all levels within the organisation and with external parties.
- Exceptional organisational and planning.
**Desirable;**
- Sage 50 experience.
