Trainee Pre-sales Coordinator

IPM are looking for a Trainee Pre-Sales Coordinator as part of the established Lease Assignment Team to deal with Lease Administration and Company Secretarial works
**Job Specification and Key Responsibilities**:
To provide a professional front line service providing pre-sales support for lease assignments;
- Lease administration services and Company Secretarial duties to include:
- This is a key front line with responsibility for responding to all enquiries from tenants, solicitors, leaseholders and freeholders.
- The post requires dealing with legal processes therefore attention to detail and ability to follow due process is required. As is the ability to explain complex procedures and systems to applicants.
- Being able to prioritize a busy workload, demonstrate flexibility and attention to detail is vital.
- Excellent I.T. skills will be required to access and process data using Qube and other in-house systems. The post holder will also be dealing with confidential and sensitive information which must always be kept secure.
**Lease Administration**
- Provision or comprehensive and accurate pre-sales packs
- Responding to all enquiries within an efficient timescale.
- Maintaining comprehensive file notes on Qube and any other in-house database as required
- Undertaking Land Registry searches and recharging search fees accurately
- Responding to pre-sales queries including provision of EWS1 certificates, survey reports, and other documents as applicable
- Reviewing leases to confirm post completion requirements
- Reviewing leases to confirm requirements for consents
- Escalating complex enquiries to the Property Manager or Line Manager where necessary, keeping the customer updated at all times
- Recording all outgoing letters and monitoring disbursements as required
- Processing payments using Sage Pay
- Maintaining up to date records on Qube at all times
- Liaising with Freeholders, RMCs and RTM Companies regarding sales and consents.
- Liaising with leaseholders, solicitors and surveyors in relation to sales, consents, Deeds of Variations, lease extensions and licenses
- Keeping track of consents required and granted under the terms of the lease and liaising with leaseholders, Clients and the management team as required
- Production of Leaseholder Information Packs, Deeds of Covenant, Certificates of Compliance and other lease assignment documents
- Resolving enquiries from leaseholders, solicitors, managing agents and surveyors
- Keeping track of the sales process and liaising with client completion teams as required
- Liaise with solicitors throughout sale/purchase process with any enquiries
- Resolving enquiries from potential vendors, buyers and Solicitors, providing support throughout the sales and purchase process.
- Resolving enquiries from leaseholders, solicitors and prospective purchasers in relation to licenses to alter and other consents required under the lease
- Administration of consents such as pet consent, subletting and alterations in accordance with Client instruction and Lease terms
- Administration of Deeds of Variation and lease extensions in accordance with client instructions.
**Company Secretarial**
To maintain complete Company records for all RMCs and RTMs where Inspired is appointed as Company Secretary, to include:
- Maintaining complete Membership and Share registers
- Maintaining up to date records on Companies House
- Transferring Membership and Shares as required, issuing certificates and updating Company records
- Liaising with Company Directors regarding lease assignments, transfer of membership and shares, filing confirmation statements and general company administration.
