**Job Function**:
To provide a comprehensive support service for the Business Unit Director and all members of the Business Unit. Additionally, interaction with all functional departments; supporting the administrative requirements of the business as needed.

**Key accountabilities**:

- Provide day to day support to the Business Unit Director and the Business Unit Team in operational and organisational tasks as required
- To manage internal approval process via PromoMats. Full training will be given
- To manage promotional materials withdrawal/re-approval process. This is a process when materials/products have expired or are found to be in breach of the ABPI Code and are being withdrawn from the sales force. Full training will be given.
- To work with the marketing team in support of their project delivery as required
- To support the relevant business owner with administrative procedures surrounding centrally driven Takeda Organised customer meetings, in alignment to agreed business processes: Including accurate production, tracking, storing of Consultancy Agreements and Service Briefs; Management of HCP travel requests; Effective inputting of governance information into CRM system; Post event consolidation of expenses
- Effective management of internal events and local / international congress activities. Working cross functionally, taking ownership for the logistics, achieving deadlines and effective budget management, to ensure a seamless and efficient service to all stakeholders. International travel may occasionally be required to facilitate this
- To take responsibility in maintaining Business Unit records according to required document retention guidelines and to assist in providing Business Unit information required for company audit purposes
- Arrange monthly meetings including coordination of the team meetings, preparing agendas, booking catering and writing up actions/minutes following each meeting
- Ownership of organisational activity surrounding new starter inductions and onboarding process (including ordering of IT equipment, registration on appropriate systems for new team members, assisting with logistics for New Employee Onboarding)
- To attend off-site internal and external meetings. To assist with logistics and smooth running of the day
- Undertake any other general duties or projects as required by the Business Unit Director
- To assist with entering Takeda Contract information onto database systems
- To assist with raising purchase orders and TI Payments for the department through internal systems, Coupa or Ariba. Full training will be given
- To support budget management, maintaining organised records of PO's raised, invoices received and status of payment
- To assist with order and arrange for distribution of items and manage warehouse (CPG)
- Other general duties as required by the Business Unit Director. Wherever possible, anticipating the needs of the team and undertaking additional tasks as and when necessary

Educated to a minimum of GCSE standard or equivalent, including English and Mathematics.
