Our experienced team provides a bespoke service, and specialises in residential block management, from historic converted buildings to new build developments of flats and houses priding ourselves on our exceptionally high retention rate.
**Job description**
**Role: Administrative Assistant - **To assist the Property Managers in the management of their portfolios of residential apartment blocks and residential housing estates by providing administrative support. Mon - Thur 9-5pm & Fri 9-4.30pm.
**Main Tasks**:
- Type up minutes of meetings.
- Typing and mailing of various letters, AGM invitations, and mail shots.
- Answering the phone to residents/developers/Contractors/solicitors and surveyors and directing the calls accordingly.
- Working on Blockman software adding transactions, invoices, payments and reconciling the same.
- Updating our leaseholder portal, and leaseholder information on Blockman.
- Assist with service charge budgeting, service charge & ground rent collections.
- Matching invoices for payment to work orders.
- Dealing with insurance claims, renewals and enquiries regarding the policy.
- Typing up of sales information packs for property sales. And completion of LPE1 forms.
- General company secretarial work e.g., Updating companies house with changes.
- Administration of works, record keeping, progress chasing, using Blockman software system.
- Providing administrative support to the property manager when away from the office.
- Dealing with telephone calls, correspondence and any other support tasks as required.
- Raise work orders.
- liaise with other team members on matters such as maintenance, debt collection, outstanding maintenance issues and accounting.
- Any other administrative duties relevant for the effective management of each property.

- Hands on and able to use own initiative.
- Ability to communicate positively and effectively with a keenness to help others.
- Provide exemplary service to clients.
- High level of discretion and diplomacy.
**To be considered as Administrative Assistant, you will need**:
- To be a proficient IT user, with the ability to use MS packages and internal systems. (Training given on Blockman Software System and Companies House).
- Professional telephone manner.
- Good sense of urgency.
- Must be organised and be able to prioritise work.
- A fluent level of English with excellent spelling and grammar.
- Experience within a customer service environment.
- Proven administration skills.
- Experience working within block management, lettings or property management administration advantageous but not essential.
