Band 5 Admissions Supervisor - Central Booking Office

To support the Deputy Service Manager in the planning, development, provision and review of the admission services.

To represent the Service Manager/Deputy Service Manager at meetings in relation to admission and achieving national targets as and when required.

To attend weekly the Theatre Utilisation Programme Group (TUPG) and deal with any concerns identified.

To provide cross cover for the admissions coordinator team as and when necessary.

To assure the surgery cancellation is validated and reported on a weekly basis.

Lewisham and Greenwich NHS Trust is a community focused provider of local and acute care, providing high quality services to over one million people living across the London boroughs of Lewisham, Greenwich and Bexley. With a turnover of around £700 million, we provide services at Queen Elizabeth Hospital in Woolwich, University Hospital Lewisham and a range of community settings in Lewisham. We also provide some services at Queen Mary’s Hospital in Sidcup.

As an organisation, we’ve made significant improvements for patients and staff in the last two and-a-half years. This is reflected in our most recent Care Quality Commission (CQC) inspection (from February 2020), which found improvements across the organisation and gave us an improved rating of “Good” in the Well-Led and Effective domains, in addition to the rating of “Good” that we had already achieved in the Caring domain. Our staff culture change programme has been key to the Trust’s improvement journey, as we’ve stabilised our workforce by reducing vacancy rates and improving staff retention. We’ve also significantly increased the representation of minority ethnic leaders across our clinical and corporate teams.

**Key Result Areas & Performance**:
To support the Deputy Service Manager in the planning, development, provision and review of the admission services.

To represent the Service Manager/Deputy Service Manager at meetings in relation to admission and achieving national targets as and when required.

To attend weekly the Theatre Utilisation Programme Group (TUPG) and deal with any concerns identified.

To provide cross cover for the admissions coordinator team as and when necessary.

To assure the surgery cancellation is validated and reported on a weekly basis.

To support the delivery of a cost effective and patient focused service in line with the trust’s strategic direction and service plan.

To lead on initiatives - particularly standardising patient waiting list management and theatre list booking - ensuring that all admission coordinators are fully conversant and able to perform the duties required of them.

To be responsible for validating and cleansing of the weekly 18 week data provided by the Information department and ensure all potential breaches are brought forward in line with the Government targets.

Be fully efficient on EXCEL in order that weekly waiting list reports can be sorted and filtered in a format where imminent breaches are easily identifiable and dealt with immediately.

Be fully proficient on Icare to update and process waiting list additions and booking for surgery.

Input and extract information via Icare as required, i.e. enter surgery date and pre assessment date, clock stops for 18 week pathway.

To investigate data inaccuracies by referring to patient case notes and checking all patient history.

To adjust/ correct patient referrals where inaccurate data entries have occurred or where patients have self-deferred or failed to attend an appointment.

To understand and ensure that procedures with regard to measuring and recording waiting times are in line with the Department of Health.
