Adopters for Adoption is a national UK adoption agency, based in Worcestershire. The agency was set up to not only provide adoption services to those looking to become adoptive parents, but to also have a positive impact on the way those people are supported in the adoption process.
**Role Details**
Adopters for Adoption are recruiting a Maternity Cover Administrator to join the team in Bromsgrove to provide the delivery of a comprehensive and flexible administrative support service to enable the business to function effectively in line with Adopters for Adoption and Polaris Vision and Values. You will work as part of a team and will receive support and regular supervision, plus opportunities for learning and development. There are opportunities to work from home and the office.
**Requirements**:
- Proficiency in Microsoft Office Suite
- Strong administration skills
- A good understanding of GDPR and the ability to be confidential and discreet about information and data
- Excellent organisational skills with the ability to manage own workload independently
- Excellent oral and written communications skills with the ability to communicate effectively at all levels and the ability to respond to difficult situations
- Previous experience using Charms Case Recording System would be an advantage but not essential
- Passionate, professional, with a “can-do” attitude at all times
**Responsibilities**:
**General Administration**
- Undertake a wide range of administrative tasks and duties using keyboard, office, I.T and database skills as defined by your Line Manager
- Ensure all tasks are undertaken in line with HR and QA policies
- File documents in the appropriate filing systems and set up new filing systems when required
- Manage incoming mail, allocating as appropriate and frank/prepare and post outgoing mail
- Ensure data is accurately recorded on all Business Information Systems for the purpose of running meaningful reports.
- Note/Minute taking at meetings where appropriate
- Archive files and other documentation and confidential waste of sensitive information
- Manage office stationery orders to ensure an adequate supply of office materials and consumables.
**Assessment Processes**
- Access the pre-approval checks for prospective adopters in line with required timescales
- Liaise with prospective adopters with regards to the pre-approval checks as required
- Deliver high levels of customer care and professionalism ensuring this is maintained across the whole assessment journey.
- Deliver the highest levels of customer service through optimum process times.
- Assist with the planning and organisation of the pre-approval training for adopters
- Liaise with the Independent Social Worker and Adoption Team as required with regards to pre-approval checks and promptly send pre-approval checks to the Independent Social Worker when received.
- Keep all records as required in relation to the pre-approval checks and assessments
**Communication**
- Be a confident communicator with good interpersonal communication skills that present a positive impression of the agency to a range of stakeholders
- Ensure potential adopters contacting the agency are welcomed with an enthusiastic and helpful initial response
- Communicate with a wide range of audiences including adopters, social workers, and Panel members, and deliver excellent customer service at all times.
- Ensure safeguarding and complaints are managed in line with procedures
- Undertake reception/switchboard duties where appropriate.
