Risk & Compliance Officer

**Job Purpose**
This role will report into the GM / Director and work both a alongside the client and Careiver teams. The idea to not be involved in the day to day of either client or Caregiver, but oversee the systems, processes, compliance within the businesses - working on projects across both sides to ensure we maintain our EXCEPTIONAL standards.
**Client Compliance**:
- Ensure client files are compliant from the onset and remain so (POA / consent form / SA etc.) not to do, but to sign off the client team upload prior to the care commencing
- Ensure tasks are conducted within the people planner alerts ‘DUE’ - by the relevant teams, if for any reason they become ‘OVERDUE’ note why and support with action of these
- Review ACP dashboards to ensure up to date
- 10% audit of client daily notes / tasks monthly and spot check of medication
- Ensure grab sheets / Herbert protocols and DNAR are up to date and in the client’s property
- Audit 10% of client files monthly (using the internal auditing documents) note trends, document and record ensuring any areas of improvement are actioned
- Second sign off any accident and incident in the business and add to quality report
- Conduct project work to ensure our care is outstanding, clients are happy - ie ‘end of care call’ form we are currently working on
- When a client leaves - ensure end of service process followed - file uploaded and saved to SharePoint, client terminated and documents saved / shredded as appropriate
**Caregiver Compliance**:
- Conduct a 10% monthly Caregiver audit of data kept - i.e.. DBS / insurances etc. may become out of date
- Ensure logging in and out reports are pulled, reviewed and actioned (along with GPS)
- Ensure length of call time reports are pulled monthly, reviewed and actioned (if running over a meeting is set up with Meg / Jodie to discuss)
- Conduct any investigations if required, sit in on any HR matters or disciplinaries, write up and record
- Ensure any tasks are conducted within the people planner alerts ‘DUE’ - by the relevant teams, if for any reason they become ‘OVERDUE’ note why and support with action of these
- Ensure MLC and care certificates are completed in the time required (not do the observation keep the team on track - support only is become overdue)
- Ensure the CAREGiving team are skilled to deliver the correct care for the clients - competencies etc
- Ensure the CAREGiver team conduct all necessary and relevant competencies, and these are filed and recorded correctly and that training materials are p to date as per provided on my franchise
**Auditing and Meetings**:
- Auditing - Conduct a full business audit every 6 months
- Monthly audit - review of 5 clients - daily notes, does the care plan support the service we are delivering
- Compile the monthly quality report for the business
- Evidence and provide learnings from any of the above to predict future trends and prevention
**Evidencing OUSTANDING and Continuous Improvement**:
- Work across the business to evidence continuous improvement and keep the KHLOE files up to date, on a weekly bases and project refresh every 6 months
- Update on KHLOE folders twice annually with new evidence
- Ensure you are up to date with policies and procedures of HISC (My Franchise) and CQC and these are followed and communicated to the wider team as needed.
**Other**:
Be aware and ensure we are GDPR complaint and within the guidance on data protection from CQC.
Update monthly data required by ICO
Make sure up to date with skills for care
Ensure that Health & Safety audits are completed both in the office and within client’s homes.
This role will also support both Registered Managers across two areas, Charnwood Loughborough and Central Nottingham, West Bridgford to oversee and audit compliance.
