**Job Purpose**
Working as part of a team to provide comprehensive administrative support to Course Convenors, Heads of Subject and Head of Professional Services to ensure the efficient functioning of the Schools taught courses, both UG and PGT.
Reporting to the School Senior Teaching Administrator, to provide the effective and efficient operation of both the undergraduate and postgraduate teaching and learning support across the School of Modern Languages and Culture, ultimately supporting the School to meet its strategic objectives and targets.
**Main Duties and Responsibilities**
1. Administration of undergraduate and postgraduate courses with responsibility for the day-to-day management of allocated taught provision including the support of students, course convenors, GTAs and other stakeholders, ensuring first level assistance and effective communication with the School, College and University Services.
2. Responsibility for a range of administrative duties to support the student lifecycle, including enrolment, timetabling, on-course management, attendance monitoring and graduation, working with mínimal supervision and often required to act independently.
3. Maintenance of student academic records within My Campus and local records systems, including recording of student grades and awards, attendance records, processing and recording good cause and other relevant student administration as necessary.
4. Maintenance of academic records relating to taught course provision through the course approval process/Programme Information Project (PIP), ensuring that course changes and new developments are processed efficiently and within the College/School deadlines, ensuring relevant consultations and paperwork have been completed.
5. Responsibility for course administrative support relating to distribution of course materials, assessment submissions, return of feedback and tracking deadlines via the School Assessment & Feedback calendar, class timetabling and other tasks in adherence with School, College and University policies and procedures.
6. First point of contact for students, academics and visitors and dealing with their queries or problems in a manner that represents the School in a positive, welcoming light; offering appropriate initial support to students in close cooperation with academic staff; assisting students to register and enrol in MyCampus; liaising with course conveners to relay the correct information to students/other academic staff.
7. Responsibility for the coordination of the exam diets for allocated courses, liaising with academic colleagues and University Services in relation to the deadlines to produce exam papers, the exam timetabling process, and exam arrangements for students with disabilities, including arranging venues, equipment and invigilators, as well as liaison with external examiners.
8. Organisation and clerking of academic exam boards, including the creation and dissemination of formal exam board materials; recording result amendments, arrangement of Joint Board meetings, uploading and publishing of results in adherence with policies, procedures and deadlines.
9. Co-ordinating the appointment of class reps and being responsible for the dissemination of information about SRC training; clerking staff/student liaison committee meetings.
10. Co-ordinating and production of course evaluation questionnaires via Evasys, liaising with the Course Convenor and ensuring that feedback is returned to course cohorts via Moodle.
12. Ensuring effective communication and dissemination of information with regards to student and academic administration within the School.
13. Responsibility for the allocation of timetabling and teaching space allocation within designated courses, problem solving with mínimal supervision.
14. Administration for student recruitment, enrolment and registration in MyCampus to facilitate the induction of new students, resolving issues where possible and referring to senior colleagues where necessary; preparing student handbooks and/or web materials to ensure they are available for new students at the start of the academic year; assisting with Open Days and Careers events.
-17. Take a lead role in the continuous improvement of administrative functions, polices and processes within the School and participate in wider improvement projects.
18. Contributing to the delivery of an excellent level of administrative support for staff and students across the School and College; working collaboratively with colleagues within the and across College; highlighting issues with processes and procedures for review and undertaking other duties as reasonably required by the Head of Professional Services.
