The successful appointee will have a key role in implementation and project support for a range of activities and will have a flair for maintaining and developing efficient administrative systems. In particular, the Finance Co-ordinator will work closelywith the central finance team.

Key responsibilities of the Finance Coordinator:
Administration:

- Lead on the checking of all invoices ensuring the correct budget code is allocated in line with the Finance team's systems and processes.
- Receive and check all claims for reimbursement and allocate budget code.
- Manage the checking of all grant payment requests ensuring the budget code is allocated correctly.
- Manage all credit card reconciliations and travel invoices and obtain the correct approvals from the relevant manager and finance.
- Lead on the management of all procurement documentation including ensuring accuracy and submitting to finance in a timely manner ahead of invoice submissions. Policy and procedures including process mapping and form building.
- Lead on the development and management of the policy and procedures for payment of invoices and budget code allocation (pre-sending to finance).
- Develop and implement key policies and procedures for procurement, travel expenses (Fellows), B4B cards for fellows, grant payments, credit card including supporting any implementation of Finance software in conjunction with the Finance team.
- Build and maintain an asset register for the company working in conjunction with the IT and Finance team. Budget and analysis
- Working with the Executive Director, and Staff build an annual budget linked to the Institute's annual operation plan. Providing analysis on previous years' budget and actual.
- Build specific event budgets in consultation with Associate ED: Community Engagement, Programming, and Impact and appropriate staff including previous spend analysis and what this means for budget assumptions.
- Monitor Sage Intact and provide monthly variance reports to Executive Director, according to budget structure and then by event or spend areas (e.g. travel).

- Previous experience in a financial administration or accountancy roles;
- Exceptional organisational and administrative skills, with a flair for developing processes in an agile and complex working environment
- Proficiency with MS Office suite and experience with CRM software
- High standards of accuracy, efficiency and attention to detail;
- Ability to problem solve and make effective decisions
- Proactive, flexible and responsive approach, with a willingness to work outside of core hours for global events where required
- Part qualified - this is desirable not essential for this role
