**Job summary**
- Responsible for all aspects of clinical secretarial and administrative support provided, working to optimum in terms of efficiency and organization.
- This role requires an experienced professional clinical secretary with the skills and qualifications to meet the needs of the role.
**Main Duties and Responsibilities**
- To undertake clinical administrative and secretarial work as required by the ward medical and clinical team.
- Providing cover and support, working as a team, within the MHSOP ward secretariat and to provide specific cover for the in-patient ward.
- To deal efficiently with all correspondence, monitoring telephone enquiries and providing information as appropriate.
- To maintain an accurate appointments schedule and manage the time of the Consultant Psychiatrist and Ward Manager.
- To type and compose letters, memoranda and other documentation as required.
- To source and précis information as required.
- Using Microsoft Excel produce reports, graphs and charts as requested.
- To convene and attend regular ward meetings as required, producing agendas and accurate minutes, making all necessary arrangements, including the collation of papers and agenda items.
- To ensure medical records are filed in line with IG procedures.
- To deal with enquiries/visitors.
- To deal with service user enquiries.
- To organise events.i.e. away days.
- To liaise and deal with all external agencies, service users and carers.
- Undertake office duties, including faxing, photocopying, dealing with incoming / outgoing mail. Dealing with all telephone calls and associated duties in an efficient and timely manner.
- To undertake any other duties that would be a reasonable expectation of the role.
- Support the Ward Manager with staff related tasks, such as sickness and annual leave recording.
- Under the direction of the nurse in charge, to assist with the necessary clerical arrangements involved in the admission and discharge of patients, including the organisation of admission packs for the admitting nurse and requesting of medical notes byliaising with healthcare records.
- Maintaining efficient filing systems for patient’s records and documentation, carrying out regular checks on the correct filing of all information.
- To support trained staff to ensure that data is recorded onto the patient information system (RIO) in line with data quality and timeliness requirements, as indicated by the Trust.
- To be the Local Smartcard Administrator for the ward for staff Smartcards and be responsible for ensuring returned E-discharge summaries are actioned accordingly.
