Finance Administrator

**Key Responsibilities**:
- **Management of internal post** - Distribution of vehicle fines, scanning in key vehicle documentation such as V5c’s & notifying the Fleet team, filing of vehicle tax reminders, escalation of post requiring urgent action to management.
- **Ownership of group’s Master Fleet List (MFL) -** Processing Vehicle Movement Forms (VMF’s), managing road tax renewals dates, administering MFL and reporting to company Management Accountant each Monday before 11am.
- **Daily bank reconciliations -** Ensure that all bank accounts are reconciled before 11am each day, to ensure that management can place reliability on financial information within the accounting system.
- **Accounts payable -** Working through account mailboxes on a daily basis, posting purchase invoices to the accounting system (Sage 50, Xero), supplier statement reconciliations, monthly payment runs, ADHOC payments.
- **Accounts receivable (Fleet only) -** Support the management accountant with weekly & monthly invoicing. Draft invoice summaries to WS Group each week once MFL distributed for review. Draft invoice summaries to external customers on a monthly basis. Sending out payment reminders to customers once debt becomes overdue.
- **General administration -** Maintenance of sufficient accounting records, filing of post in an orderly manner
**Knowledge, Skills and Experience**:
- Experience within a finance role required.
- Out-going with professional attitude and appearance.
- Proficiency in Microsoft Office Suite, especially excel.
- Solid communication skills both verbal and written.
- Highly Organised.
- High Attention to detail.
- Time management skills and ability to use initiative.
