This is a 6month fixed term contract and will be split into two assignments.The first assignment will require general executive support to The SVP Chief Financial Officer,VP Finance & Business Strategy and Insight and VP Supply Chain and Brand Trust.Thesecond assignment will require general executive support to The SVP Chief Development,Digital & IT Officer, SVP Chief Operations Officer and VP Technology & Change.
**Duties**:
- Planning and organisation of meetings including venue search and booking, issuing invitations and tracking acceptances and budget control
- Attend off site board meetings and there may be some out of hours travel
- Leading extensive travel arrangements and diary management
- Handling key project business meetings within UK
- Act as the first point of contact and central information point for the executive office and provide support for executives for efficiency
- Provide general correspondence, reports, minute taking,invoice management, preparing PowerPoint presentations, prepare boardroom for meetings,and maintain office software and filing
- Maintain relationships with international offices
- Co-ordinate signing of adhoc legal documents
- You may have the flexibility to work from home 2 days a week - to suit business needs ( some weeks you will not be able to)
- Timely submission of expense claims for your principles
- Receiving and welcoming visitors
**Skills needed**:
- Demonstrates ability to handle and maintain confidential information
- Experience planning meetings or events highly desirable
- Excellent communication and interpersonal skills, project management and critical thinking skills
- Sophisticated with Microsoft packages
- Quick learner and ability to understand business issues
- Must be organised,motivated and diligent with superior follow-through
- Ability to juggle multiple projects and meet deadlines
- Strong attention to detail and ability to complete large volumes of work efficiently and effectively
- Must be extremely proactive with a ddesire to stretch beyond the task list to support the team
- Ability to adapt to a constantly evolving business and work environment
- Professional, reliable ,driven and results-oriented
