Ripon Spa Surgery is seeking a dedicated and enthusiastic Administrative Assistant / Receptionist to join us on a temporary basis to cover maternity leave.

You will learn various duties across the administration team to offer extra support where needed to maintain the smooth and efficient functioning of the practice, which includes a dual role as there is integration with the reception team. The role involves contact with patients both face to face and on the telephone so excellent communication skills are essential.

Within this position you will be required to maintain strict confidentiality and will be expected to always deal with patients and relatives with courtesy and discretion.

**Main Job Role and Responsibilities include**:

- _**Administrative Duties**:_
- Management of incoming post, the recording of medical reports
- Processing of incoming and outgoing information (electronic and hard copy) into the clinical system
- Deal with and action day to day electronic tasks and notifications in a timely manner, which includes informing patients of their results.
- Input data into the patients' healthcare records as necessary
- Answer incoming phone calls, transferring calls or dealing with requests appropriately from patients, carers, other healthcare professionals
- Filing and photocopying
- To perform any other reasonable tasks requested by the Practice Manager and GPs
- To support staff with the distribution of information, messages and enquiries of the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
- To have knowledge of all practice procedures and to work in accordance to written protocols
- To provide administrative support and cover duties for other members of staff if required
- **Reception**:_
- Welcoming patients upon arrival at the front desk of the surgery
- Making appointments for patients via telephone or face to face
- Handling queries from patients and diverting them to the right department
- Handing completed repeat prescriptions to patients and checking names and address
- Dealing with doctors visit requests and printing the relevant information for the doctor
- Maintaining the reception area to a professional standard

We are looking for someone who is:

- Highly organised with excellent time-management skills
- Excellent communication skills both verbal and written
- Detail-oriented and able to handle confidential information professionally
- Ability to prioritise workload in order to meet conflicting demands and deadlines
- Ability to work as part of a team and individually
