**Job Title**: Database Assistant
**Responsible to**:Partner and Practice Manager

**Primary Role**:To assist the Database Administrator with managing information within the department.

**Accountability**

The Database Assistant must:
1. Technical - Be able to work to a high level of professionalism maintaining a courteous and helpful attitude when dealing with client calls. Be able to effectively operate appropriate IT systems in relation to file opening, transfer, amendment and closing procedures. Maintain an up to date and accurate database of client contact details, both corporate and private.

2. Teamwork - Be able to build and manage an effective working relationship with the Database Administrator.

3. Time & Attendance - Ensure timely arrival at work in line with contractual working hours and maintain, where possible, zero/mínimal level of absenteeism.

4. Client Services - Be able to communicate effectively with internal (which includes fee-earners and support staff) and external clients. Have the ability to maintain a high standard of interpersonal and communication skills, especially in the context of client care. Able to provide efficient and effective enquiry handling in relation to the services provided by the database department.

**Tasks**
1. Opening Files (Axxia & Solcase)
2. Producing address labels and movement labels for files.
3. Inputting Wills, Probate, LPA’s, EPA’s and Deeds on to the system, also the creation of Deed and Will numbers for storage.
4. Producing front sheets for deed packets.
5. Inputting details onto marketing and probate database.
6. Closing Files off the system (Axxia)
7. Correctly labelling boxes for archiving for easy identification.
8. Transferring folders from J to T drive once the file has been closed.
10. Filing and retrieving Notifications from the filing cabinet.
11. Amendments to Axxia and Solcase updates to addresses and matter descriptions.
12. Tidy up F/e directories to ensure all folders are in order.
13. Transferring Files to each Fee earner.
14. Moving folders from New Matters to F/e’s J drive directory.
15. Re-opening closed file at the request of Secretary/Fee earner for billing and replacing the folder back to J drive from T if required.
16. Answering internal calls and dealing with enquiry’s and requests.
17. Any other duties as required to meet the needs of the business.

**Job Types**: Full-time, Permanent

**Salary**: From £9.90 per hour
