Based: Remote with occasional travel across England in line with our current PIPES settings

**Salary**: £22,145 per annum (pro rata)
Contract: Fixed term (1 year)

The role of the Criminal Justice Administrative Assistant is to provide administrative and programme coordination support to the CJ manager. Duties of the role include representing The Reader at external events, scheduling meetings, agenda creation, taking meeting minutes, diary management, full administrative support for specific projects, and working with the CJ Manager in supporting the day-to-day organization of team and project management. Responsibilities may include site visits. Delivery cover and/or occasional national travel. The role requires a resilient individual who can both assist others and act on their own initiative, using common sense and discretion, while working to tight deadlines.

**Knowledge and Skills**
- Offer high quality organizational and administrative support to the Criminal Justice People and Project Manager in elements of their work Able to evaluate and respond to pressing elements in an evolving situation, and respond effectively Act as a point of reference for teams across the organisation to access the support of the CJ Manager
- Understand the necessity of dealing carefully, and within data protection legislation, with confidential matters, including handling both personal and business-critical information
- Ability to maintain electronic filing systems and help ensure key data records are up to date
- Willingness to provide cover for Shared Reading groups in CJ settings, including travel, if necessary (this would be picked up as additional hours at Reader Leader rate if needed)
- Able to deliver Shared Reading experiences, as required
- Collate information, evaluation and case studies for reports

**Communication**
- Ability to liaise and communicate with all staff across departments and teams
- Ability to, assimilate and convey information to other people across organization
- Professional, impactful representation of The Reader and our work at a range of events and meetings

**Liaison and Networking**
- Work collaboratively with internal and external stakeholders; supporting all aspects of administrative duties associated with the people and project management of The Reader’s Criminal Justice work
- Able to hold your own in meetings and at events, including presenting The Reader’s work as required

**Planning and Organising**
- Support the CJ People and Project Manager in agenda creation and circulation, the scheduling of standing agenda items across the year, the calendar invitations for additional meeting attendees, minute taking, zoom and room bookings and action circulation.
- Support the CJ People and Project Manager in meeting scheduling requests from Project Leads, Directors Group, Heads of Departments and other teams within the organisation.
- Support the CJ People and Project Manager in managing their calendars, using knowledge of priority/urgent meetings within each calendar.
- Support the CJ People and Project Manager in data collation for project reporting
- Collate sector trends and understanding from a range of sources, for wider dissemination, communication and action

- Work closely with the CJ People and Project Manager to ensure efficient and effective functionality of the Criminal Justice projects, including management of team duties and workload.

The role may be required to undertake other duties that support the administration of the effective running of The Reader.

**Person Specification**
- Excellent verbal and written communication skills, confident speaker Self-motivated and able to work under mínimal supervision
- Ability to work under pressure, to deadline, managing conflicting priorities with a cool head
- Awareness of the complexity of working within the criminal justice sector and keen to make a difference within it
- Keen to explore and reflect on problems - able to think for yourself as part of a team and act with good effect
- Able to work flexibly to achieve objectives
- Able to work collaboratively with internal and external stakeholders Strong IT skills, including Microsoft Office.
- Must be proficient in Excel and willing to learn new IT skills Fully understands the necessity of dealing carefully, and within data protection legislation, with confidential matters, including handling both personal and business-critical information
- Able to demonstrate an understanding of the work of The Reader and its social values and have a good understanding of the purpose and social mission of The Reader.
- Able to communicate The Reader’s mission and purpose
