Job Description: Planned Preventative Maintenance (PPM) Co-Ordinator

Role Overview: The Planned Preventative Maintenance (PPM) Co-Ordinator is responsible for overseeing and ensuring the effective planning, scheduling, and execution of all preventive maintenance activities within the organisation. This role involves coordinating maintenance schedules, managing engineering resources, and ensuring compliance with safety standards, health regulations, and organisational policies. The Planned Preventative Maintenance Co-Ordinator is responsible for delivering exceptional customer service by managing inbound and outbound calls with clients, engineers and contractors, responding to and resolving tickets efficiently. This role requires attention to detail, exceptional organisation skills, effective communication skills, and a commitment to meeting client Service Level Agreements (SLAs).

Key Responsibilities:
Planning and Scheduling:

- Develop and maintain the PPM schedule for various assets, systems, and clients.
- Ensure that maintenance activities are carried out at regular intervals to reduce the risk of breakdowns and improve equipment reliability.
- Coordinate with engineering teams and contractors to schedule PPM activities with mínimal disruption to clients. Also ensure all engineers are highly productive and profitable.

Communication and Reporting:

- Provide regular updates to management regarding the status of PPM activities, engineer performance, and any potential issues or delays with services.
- Act as the primary point of contact for all PPM-related queries from internal stakeholders and contractors.
- Handle inbound and outbound calls with clients, engineers, and colleagues. Ensure all calls are handled to a professional level and resolved effectively.
- Ensure internal CAFM system is regularly updated with any specific job notes. Also update any third-party client portals to reflect internal system.
- Review engineer’s job reports daily to identify any remedial action required, for attention of contract management team.

Resource Management:

- Liaise with internal teams and external service providers to ensure the availability of all elements, to deliver required maintenance activities. Including bookings with client and access available.
- Ensure that the appropriate personnel are assigned to carry out planned maintenance tasks. Understand engineers’ capabilities
- Escalate any engineering issues or shortages.

Compliance and Documentation:

- Maintain accurate records of all PPM activities, including schedules, inspections, and

maintenance reports.
- Ensure compliance with all relevant regulatory requirements and industry standards,

including safety regulations.
- Issue certification and documentation to relevant internal and external stakeholders

Skills & Qualifications:

- Experience: Proven experience in a maintenance coordination role, preferably within a

facilities management or technical environment.
- Knowledge: Strong understanding of maintenance processes, equipment, and safety

regulations.
- Organisational Skills: Excellent planning, time management, and multitasking abilities.
- Communication Skills: Ability to communicate effectively with internal teams,

contractors, and stakeholders.
- Technical Proficiency: Competent in using maintenance management software and

Microsoft Office tools.
- Problem-Solving: Ability to identify issues, analyse data, and recommend solutions to

improve operational efficiency.
