Workforce Support Officer

The Workforce Support Officer will play a key role supporting the Corporate Business Manager and Senior Corporate Services Officer in co-ordinating and administering the ICB’s internal workforce activities. The postholder will be an enthusiastic, self motivated and be able to proactively manage a varied workload including efficient time management, prioritisation and achievement of daily, weekly and monthly tasks.
A flexible approach to their work is required in order to deal with conflicting demands and tight deadlines. Good interpersonal skills are important for dealing with colleagues, as is the ability to work effectively as part of a team.
The Workforce Support Officer will be expected to work efficiently and flexibly to provide comprehensive, high quality support for a range of administrative tasks and processes, including recruitment, onboarding, induction and workforce information. The postholder will be required to work in a busy and demanding environment and should be able to work on their own initiative, with limited supervision on a day to day basis, to include but not limited to
- Support internal recruitment activities within the ICB, using the TRAC recruitment system to support recruiting managers and colleagues with any active recruitment.
- Support the Senior Corporate Services Officer with the onboarding arrangements for new starters, including local induction arrangements and IT set up.
- Support transactional payroll processes for approval and submission, working within strict payroll deadlines and ensure accurate record keeping in line with audit requirements.
- Maintain and monitor electronic staff records on the NHS ESR system.

Please note we operate a 3-month probationary period for new appointments
- Organise and attend monthly team meetings, note and monitor actions as identified.
- Work with the Senior Corporate Services Officer to coordinate internal recruitment activities within the ICB, using the TRAC recruitment system to support recruiting managers and colleagues with any active recruitment.
- Support the Senior Corporate Services Officer with the arrangements for new starters, including coordination of local induction arrangements, and IT accounts and equipment.
- Support transactional payroll processes for approval and submission, including new starter, change and termination documentation, and timesheets; working within strict deadlines to ensure all documentation is processed within set timescales, and ensure accurate record keeping in line with audit requirements.
- Maintain up to date records in relation to the ICB’s workforce, including staff personal files on Sharepoint, structure charts and appraisal documentation; ensure filing takes place regularly and in a timely and accurate manner, always maintaining confidentiality and data protection.
- Maintain and monitor electronic staff records on the NHS ESR system, including sickness absence, annual leave, pay progression and statutory and mandatory training compliance.
- Provide workforce information in response to ad-hoc requests, including basic ESR reports, information for Freedom of Information requests, audits of ICB processes.
- Oversee the work of a Business Admin Apprentice.
