**Job summary**:
Working under Air Command Media and Comms within a small Military/Civil Service team at RAF Northolt, this full-time position is responsible for the coordination and allocation the appropriate Ceremonial assets to Service, National and State events in order to keep the RAF in the public eye in accordance with the RAF Command Plan. This desk-based post requires excellent oral, and written communication skills to enable professional liaison with members of the public and defence personnel in the development of the Ceremonial team’s programme. Awareness of the capabilities of the current RAF Ceremonial is desirable. A very good understanding of IT, MS office in particular including database and spreadsheet function is essential as much of the role involves the accurate and succinct writing of administration orders for the organization and administrative support to SO2 RAF Ceremonial for the planning, coordination and execution of RAF Ceremonial events. The position also has the potential for Line Management responsibilities for a CS E Grade admin post.

**Job description**:

- As SO3 RAF Ceremonial administration you are responsible to SO2 RAF Ceremonial for the routine administration and oversight of the ceremonial output of the office. In the absence of the SO2 you are to step up and undertake the ceremonial aspects of their role and any other aspects of the post SO2 RAF Ceremonial deems appropriate. Routinely SO3 RAF Ceremonial administration will have the ability to proactively engage with a range of tri-Service and civilian government and non-government agencies, in order to champion the image of the RAF in a national and international arena. A good team-worker, confident, even-tempered, well-motivated and be able to communicate at all levels. Discretion is a vital element of the role:
**Person specification**:
As SO3 RAF Ceremonial you are responsible to SO2 RAF Ceremonial for the routine administration and oversight of the ceremonial output of the office. In the absence of the SO2 you are to step up and undertake the ceremonial aspects of their role and any other aspects of the post SO2 RAF Ceremonial deems appropriate. Routinely SO3 RAF Ceremonial is responsible for the following outputs, for:
a. Organisation and planning of Air Force Board Entertainment in conjunction with SO/CAS, including AFB Dinners and Receptions to include booking of venues, preparation of guest lists and invitations, menus, wines and musical and ceremonial support.
- Liaison with family regarding arrangements for RAF involvement for funeral services, Memorial Services and drafting letters of condolence for serving and retired Air Officers of 2* and above, or other notable individual with RAF connections as directed, and coordination of those attending including seating plans where necessary.
- Co-ordination of the issue of tickets for the Queen’s Birthday Parade (Trooping the Colour).
- Organization and administrative support to SO2 RAF Ceremonial for the planning, coordination, and execution of RAF Ceremonial events, especially:
(1) RAF Annual Church Service.

(2) CAS Commendation presentation ceremony.

(3) Armed Forces Parliamentary Scheme.

(4) Lord Mayor’s Show

(5) Remembrance week (including the Royal British Legion Festival of Remembrance) and Bespoke Memorial Services.
- In conjunction with SO3 RAF Ceremonial (Events), providing administrative support for The National Battle of Britain Service of Thanksgiving at Westminster Abbey and the Reception afterwards in Church House.
- Supervision of Registry procedures and line management for RAF Ceremonial Office administration Clerk.
- Co-ordination of Office IT provision.
- Other duties, commensurate with the grade and overall responsibilities of the post, as may be delegated from time to time by SO2 RAF Cer.
- Provision of ceremonial advice on the full spectrum of ceremonial outputs and events that the RAF is represented at.
- Responsible with his staff for the organisation and execution of RAF anniversary parades, church services and heritage events as detailed by SO1 RAF Ceremonial & Air Events.
- Act as the assistant to the primary planning officer for the RAF input to State Ceremonial Op Plans, namely Op BRIDGE operations, Op OVERSTUDY and Op PABBAY.
- Provision of ceremonial advice to RAF personnel on standards and orders of dress for ceremonia
