The Role:
The Crewing travel administrator shall be responsible for arranging all travel for the crewing team and will report to Subsea Crewing lead.

- Ensuring that all travel as directed by the Subsea crewing team is arranged with budget and as per schedule
- Arrange travel visa where necessary and advise team of HRA
- Ensure client joining instructions, certification and online portals are adhered to at all times
- Supporting Project manager in ensuring project interfaces are managed effectively from a personnel perspective
- Ensure all travel is arranged most efficiently for personnel
- Implementation and maintenance of travel tracking (i.e., progress, documentation, financials, lessons learned).
- Co-ordination of personnel mobilisation and de-mobilisation from project for travel & accommodation, etc.
- Maintain and ensure compliance with industry and company operating procedures manual.
- Carry out work in accordance with the company health, safety, environmental and quality systems.
- Undertake any other duties of a reasonable nature as required by management.
- Utilising JFMS Sage system to raise PO’s and log expenses.
- Work as part of wider project delivery team where required
- Attend project handover meetings
- Work Out of hours where necessary
- Work with suppliers for procurement of cost effect travel
The Crewing Travel Administrator should be aware of and understand their responsibilities as detailed within processes on the Integrated Management System (IMS), especially MOP.
- Support tendering team with travel assistance as required
- Checking subcontractor’s third parties’ documents and data.
- Support projects / PMs in delivering safe and efficient mobilisation and demobilisation for personnel travel
- Feedback: sharing technical and commercial feedback from positive and negativeviewpoints
- Capture lessons learned following projects
Who are we looking for?
You will need good attention to detail and also be diligent and meticulous.
Good Organisational skills with excellent communication skills at all levels and the ability to coordinate and present information.
Manage schedules and ensure others within the company comply with the schedule.
Qualifications & Experience:
Excellent IT skills - Microsoft Office/Excel.
Previous experience from within a similar role would be a distinct advantage.
