**Project Coordinator / Document Controller (International Team)**

**Overview**

WTI is an internationally recognized, family-owned, design and engineering firm specializing in commercial aquatic venues such as recreation centers, sport swimming pools and waterparks. We are seeking an office-based (non-traveling) professional to join our International Project Team, working closely with internal and client project team members to carry out document control, coordination and other support duties.

**Primary Responsibilities**

The following job functions are typical of the position but are not all encompassing.
- Coordinates and executes the flow of documents between clients, external engineering consultants, product vendors and internal department groups.
- Timely processing and distribution of all relevant project information, such as meeting notes, drawing files, RFIs, submittals, field reports, and review comments, using project specific delivery processes.
- Ensures that pre-established document control requirements (e.g., which document numbering system will be used; how many and which signatures will be required for certain approvals, etc.) are satisfactorily met throughout the duration of the project.
- Receives, tracks, and monitors documents using standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required.
- Initiates and replies to routine correspondence related to area of responsibility.
- Attends online project meetings when requested and produces and distributes meeting minutes.
- Aids staff in capturing and locating electronic information.
- Maintains an established data distribution system and schedule for the assigned project based upon client, project, department, and supplier requirements. May revise system or schedule as required to ensure timely approvals and distribution.
- Communicates client deadline information to the team and maintains an internal project milestone schedule.
- Provides administrative support for project team.
- Travel is neither expected nor anticipated.

**Required Qualifications and Skills**
- Knowledge of both the work processes of document control and also the use of electronic systems used to manage documentation is preferred (Aconex).
- Minimum of an Associate degree is required, with 2+ years of document control experience preferred.
- Proficiency in Microsoft Office products. Ability to format documents for a professional look consistent with WTI and client standards.
- Ability to build positive, professional relationships with various project team members and management
- Flexibility and willingness to work to meet deadlines as required by client demands, expected and unexpected.
- Excellent oral and written communication for both internal and external clients, demonstrating customer service and organizational skills.
- Ability to effectively prioritize multiple tasks and deadlines and possess excellent follow through skills.
- Ability to work effectively within a team environment.

**Salary**: £30,000.00-£45,000.00 per year
